The Hartsbrook School is seeking an experienced, creative, flexible, and collaborative Admissions & Marketing Coordinator.
TheAdmissions & Marketing Coordinatoris a valued member of the school and Advancement Department, playing an essential role in welcoming new and diverse families into the life of the school. Rooted in relationship-building, this position nurtures connections with prospective families from a wide variety of identities and backgrounds, thoughtfully guides them through the admissions journey, and helps share the story of the schools mission and programs with the wider community.
With care and creativity, theAdmissions & Marketing Coordinatorplans and supports outreach events that reflect the warmth and spirit of the school, while also contributing to marketing and communications efforts that align with the schools values.
This is a full-time, in-person role that includes occasional local travel as well as some evening and weekend commitments in support of recruitment and community events.
Essential Duties and Responsibilities
Student Recruitment & Admissions:
Coordinate the student admissions process from inquiry through enrollment for a diverse student body, Early Childhood through Grade 12, using the schools CRM system, Blackbaud. Coordinate the registration process from inquiry through enrollment for the infant/caregiver class, Cricket on the Hearth . Organize and host recruitment events such as campus tours, open houses, community evenings and events, and on- and off-site information sessions. In collaboration with the Directors, work to increase the diversity of the student body across and to create a welcoming and inclusive environment for all. Work to develop a volunteer ambassador program with current families, alums, and high school students. Work closely with the Enrollment Committee (members of the board of directors). Provide ongoing communication and relationship-building with prospective families. Collaborate with faculty, the student support department, and school leadership on student class placements and new family orientation. Offer regular updates and monthly admissions summaries to keep the Advancement Director informed and well-prepared to support admissions and marketing efforts. Marketing & Outreach:
Develop and support marketing efforts to effectively draw in a diverse group of prospective families, including digital advertising, flyers, social media posts, and event materials using tools like Canva (training and support available). Work with the Director of Advancement to implement admissions marketing strategies. Represent the school at community events, fairs, and local outreach activities. Data & Relationship Management:
Track prospective family interactions and manage admissions data using the schools CRM system, Blackbaud. Provide reporting, analysis, and prospect management to support admissions goals. Qualifications Required: Strong interpersonal skills and ability to build relationships with families and community members. Comfortable speaking in front of groups and presenting to diverse audiences. This role ensures a welcoming and high-quality experience for students and families, rooted in Hartsbrooks philosophy and values. It includes actively applying principles of diversity, equity, and inclusion throughout the enrollment journey from the initial welcome to fostering a true sense of belonging. Proficiency with CRM systems (Blackbaud preferred but not required), Microsoft Office and G-Suite. Willingness and ability to travel locally (within a 50 mile radius) and attend occasional evening/weekend events. Highly organized with attention to detail and the ability to manage multiple projects. Bachelors degree. 5-7 years of professional experience, preferably in admissions, communications, marketing, and/or Waldorf education Preferred: Experience with Canva or other design tools. Prior experience in admissions, marketing, or related fields. Knowledge of or experience with Waldorf education. Proficiency with CRM solutions, particularly Blackbaud.
