Overview

Executive Assistant position at Brown University Health. The role supports the VP of Development and the Chief Development Officer (CDO) for RIH and HCH. The Assistant liaises with hospital-based development teams, coordinates regular updates to the donor database and moves management program, and works with hospital president offices and the CEOs office to coordinate stewardship events and meetings with the Donor Relations Team. Responsibilities

Review correspondence, memoranda, and routine reports prepared for executive signature; verify formatting, compliance with procedural instructions, and ensure background material is attached. Maintain appointment schedules; arrange meetings and conferences; reserve travel and lodging. Maintain accurate and orderly files of all office correspondence; manage confidential and personal files. Requisition office supplies with authority to sign for purchases within specified limits. Provide administrative support for fundraising and/or event plans for Brown University Health partners; may serve as the primary contact for administrative functions to fundraising tasks and/or event activities. Type memos, general correspondence, reports, meeting minutes, action plans, and gift/pledge acknowledgments. Edit and proofread materials as requested. Compose rough and final drafts of general correspondence. Answer phones and receive visitors; assess needs and establish daily priorities. Use effective communication to provide satisfactory customer service. Serve as primary host to donors/prospects in the absence of senior development staff. Maintain calendars for fundraising activities and events and related meetings; coordinate meetings outside the office as needed. Serve as liaison with Foundation, Development, and Events Committee volunteers. Support the coordination of stewardship events and meetings with Brown University Health partners. Qualifications

BASIC KNOWLEDGE:

Equivalent to an Associates Degree in Secretarial Science. Shorthand may be required. Proficiency in PC word processing and spreadsheet software. Experience:

Five years progressively responsible secretarial experience preferred. Work Environment and Requirements

Work is performed in a typical office environment requiring extended periods of sitting, standing, and walking. Supervisory Responsibility
