Overview
Kadiak, LLC , a Koniag Government Services company, is seeking an Administrative Assistant I with a Secret clearance to support Kadiak and our government customer in Washington, DC. This position is for a Future New Business Opportunity. Responsibilities Prepare written communications using MS Word, MS PowerPoint, MS Publisher, MS Excel, and SharePoint Assist with new hire orientation for Government employees Arrange government travel via online Travel Manager System (E2); coordinate logistics, book tickets, hotels, rental vehicles, estimate per diem, and voucher travel upon return Provide input into the Management Information System (MIS) and use MIS to report current and future activities Track and report official time and attendance for federal employees within the office using Time and Attendance Electronic System (TATEL) Track and verify Government employee awards/recognition payments and transit reimbursements Respond to routine policy/procedure questions and provide reports such as contractor employee turnover or time and attendance Process employees for DS badges through the MDIS/DOS enrollment system, PIN resets and unlocks Utilize Federal personnel rules and regulations including the Foreign Affairs Manual Volume III (FAM-Personnel) Answer incoming calls professionally and forward messages or resolve calls as warranted Organize, type, collate and file sensitive material Maintain the Directors calendar, guest log, appointments, and other activities Review incoming documents and take appropriate action/distribution Track and monitor the status of memoranda, correspondence and taskers Inform personnel of overdue items, upcoming deadlines, and processing procedures Prepare briefing materials and compile reports Provide support to other projects or tasks as required Receive deliveries and arrange for pick-up of outgoing shipments Stock photocopy and facsimile machines and maintain their operation Receive and sort incoming/outgoing administrative mail Maintain awareness of internal security and adhere to restricted area policies Admit and welcome visitors and maintain visitor logs Liaise with building management to report and resolve maintenance issues Operate office equipment including scanners, telephones, intercoms, label printers, and cameras Assist with ordering, tracking, and inventorying office supplies
Requirements
Ability to adapt to changes in procedures and assignments Ability to establish working relationships at all organizational levels Expert knowledge and understanding of federal personnel rules and regulations including the Foreign Affairs Manual Volume III (FAM-Personnel) Ability to accurately manage taskers and assignments Ability to disseminate information and/or requests to all office personnel and compile responses Secret clearance required
Education
HS diploma (2-year college degree preferred)
Work Experience, Knowledge, Skills & Abilities
Three (3) years of experience as an Administrative Assistant in an office environment One (1) year of experience supporting at an executive level Three (3) years of experience using MS Word, MS Excel, MS PowerPoint, MS Publisher, MS Excel, and MS Outlook Demonstrated experience with document management, preferably for a legal department or similar Demonstrated ability to prioritize and organize simultaneous workflow duties
