Position Summary:
The Associate Director of Intake and Admissions (AD) plays a key leadership role in managing and coordinating the admissions process for individuals with developmental disabilities across all agency programs. This position ensures that admissions practices are person-centered, efficient, compliant with regulations, and aligned with the organization's mission to empower individuals through education, residential services, day habilitation, vocational supports, and community-based programs. The position carries one primary responsibility to maximize the number of individuals who can benefit and attend agency programs, enroll in our schools or live in our residences so those individuals can achieve their desired quality of life.
The AD is responsible for the Intake/Admissions Department within the agency and in conjunction with the Marketing Department, develops strategic goals and initiatives to increase enrollment, visibility, and awareness of The Arc Erie County Programs and Services. The AD supervises intake staff, coordinates with program leaders, maintains relationships with referral sources and families, and implements systems that support seamless transitions into services. They proactively identify potential pipeline individuals who need services or will need services that The Arc can serve.
Reporting Relationship:
Reports directly to the Vice President of Program Administration. Directly supervises the Coordinator of Intake and Admissions.

Leadership & Management
Provide daily leadership and oversight for the Intake and Admissions team, including supervision, coaching, and performance management. Serve as a liaison between intake staff, program leadership, and families to ensure clear communication and coordinated admissions practices. Admissions & Intake Operations •Oversee and manage all aspects of the intake and admissions process, from initial inquiry through placement in appropriate programs (schools, day habilitation, residential, vocational, and community services). •Conduct and/or review eligibility screenings, documentation, and assessments to ensure compliance with OPWDD, Department of Education, and other regulatory standards. •Coordinate interdisciplinary review of applicants to ensure placement decisions are person-centered and aligned with the individual's goals, needs, and interests. •Monitor waitlists and program capacity; proactively recommend strategies to maximize enrollment and program utilization.
Compliance & Quality Assurance
Ensure all admissions processes are compliant with federal, state, and local regulations, including OPWDD and Medicaid standards. Maintain accurate, audit-ready records of intake and admissions activities. Develop and implement policies and procedures that promote consistency, fairness, and best practices in admissions. Relationship Management & Outreach
Works collaboratively with Program Directors to develop marketing initiatives, enrollment targets/capacity, and new program development. Identify community needs and refer to program management for further development. Identify and cultivate stakeholder relationships to support engagement and agency growth. Maintain key business, community and family relationships to ensure all efforts are directed toward building full capacity in our programs and residences. Represent the agency at outreach events, community meetings, and professional forums to promote awareness of programs and services. Provide families with compassionate guidance and support throughout the admissions process, ensuring that they feel informed, respected, and empowered. Form relationships with community partners to establish pipelines for admissions and enrollment. Ensure events are inclusive, welcoming, and reflect the agency's mission and values. Maintain a professional relationship with area school districts to include Committee on Special Education Chairpersons, School Psychologists, and Special Education Teachers. Serve as a liaison between the agency and the broader community. Plan, organize, and execute outreach events. Under limited supervision, responsible for carrying out enrollment and admissions events and achieving assigned growth targets through a combination of direct and indirect marketing activities. Partner with program leadership to identify trends in referrals and admissions that inform program planning, growth, and resource allocation. Assist in developing strategies to expand access to services, reduce barriers to entry, and enhance the overall intake experience. Contribute to agency-wide goals of maintaining high program capacity, quality, and reputation as a provider of choice. Develop and execute a specific communication plan for external prospects throughout the admissions funnel. General Duties:
Responsible for achieving monthly, quarterly, and annual enrollment goals, and growth and choice targets, as established by management. Manages the creation and maintenance of the implementation of all applicable program expectations, policies, and procedures with regards to Intake and Admissions, etc., and updates these as necessary. Responsible for managing their own daily schedule in alignment with department goals Maintain records of contact with client's outreach activities as well as educational sessions and attendance. Utilize the agencies Customer Relations Management system, the CRM, Salesforce to track data on potential admissions, ROI on events, follow up contacts, etc.
