Responsibilities Conduct Weekly Property Walks: Look for items which need to be addressed and repaired, necessary maintenance, ensure employees are doing jobs. Enforcing the Associations Rules & Regulations is also part of the property inspections. Look for items such as balcony violations, parking issues, pet violations, alterations to exteriors, etc. Issue work orders for necessary repairs & maintenance Issue letters to Homeowners for any violations Inspect vendor and/or contracted work performed prior to paying invoices Follow up with pending Work Orders to ensure proper completion Follow up with pending violation issues to determine if further action is necessary, i.e., violation fines, etc.

Qualifications

5+ years of experience; CAM license Union Local 1 experience required

Pay is $100K plus, depending on experience. Administrative and Management Requirements

A community manager is responsible for the day-to-day operations of the property(s). A high level of administrative skill is required as well as a thorough knowledge and understanding of the propertys projects, contracts, events, etc. Responsibilities and Administrative Tasks Write and send violation notices to Homeowners Obtain all contracts for the Association(s) by presenting a minimum of 3 bids, including service contracts and project contracts; set specifications and deadlines (at least 10 days prior to board meeting) Review requests for work outside normal scope with Supervisor before commitment Be knowledgeable of job duties contract section Prepare annual calendar for Board Members Keep contract expiration dates on spreadsheet Supply specifications and obtain proposals for all work and services Prepare and distribute Board Packets to Board of Directors seven (7) days in advance of Board meetings Review and distribute monthly financial statements with a Financial Narrative to Board Members Prepare budget draft to Board of Directors Distribute budget to owners following IL Condo Act specifications Email Action Item Report to Board & Supervisor within 48 hours after Board Meeting Send Weekly Update Report to Board & Supervisor highlighting progress on tasks Ensure important information is in the C3 or shared directory (Board Member names, contacts, meeting dates, vendor information, etc.) Process Association mailings Respond to Homeowner correspondence in writing Keep copies of Board meeting minutes Send meeting notices for Board meetings, special meetings, and annual meetings Distribute newsletters Facilitate Reserve Study and annual report filing Facilitate registered agent filing Maintain insurance policy; present bids/renewals to board 30 days prior to expiration Obtain monthly legal status report from attorney for board distribution Negotiate and execute utility expenses pursuant to the Management Contract Maintain master property files and working files; purge annually Supervise, hire and fire employees of the association in accordance with the agreement Authorize the purchase of supplies and tools within approved authority Create and facilitate a phased maintenance plan for recurring projects (exterior painting, sealcoating, etc.) Ensure budget ratification at an open meeting following distribution to owners Prepare and distribute annual meeting packets following applicable laws Provide assistance to the association attorney, auditor & insurer as needed

Communication

Return all phone calls and emails within 24 hours Create a strong business relationship with the board of directors Attend Board and Annual Meetings as required Coordinate on-call/after-hours emergencies and communicate with vendors and Homeowners Understand and interpret governing documents Act as liaison between Homeowners, Board, and Vendors Inform Board and Customer Care in emergency situations Facilitate and assist the Board in running meetings Respond in writing to all Homeowner and vendor correspondence

Accounting

Process invoices online at least three times per week; note unpaid invoices after 30 days Process homeowner charges and reversals of fees and fines Facilitate needs with Reserve accounts and audits as needed Ensure proper filing of tax returns Coordinate IRS-related tasks with the Board Ensure budget approvals are communicated to accounting and sales timely Communicate changes to monthly statements and ensure order processing Enforce the associations collection policies and coordinate with the attorney as needed Pay licenses or permits as applicable Update bank signature cards and reserve account statements
