The Medical Support Assistant (MSA) assigned to the Community Living Center (CLC) provides clerical and administrative support and collaborates with the health care team, including physicians, registered nurses, licensed vocational nurses, nursing assistants, pharmacists, social workers, dietitians, behavioral health staff, and others as part of the Patient Centered Care Initiative. Responsibilities

Performing receptionist duties, customer service and other duties assigned for the proper and timely treatment of patients and maintains appointment schedules for up to fifty-two residents. Coordinates and schedules travel to UCSF campus, other VA facilities, or other private hospitals for emergency and non-emergency appointments. Manage position responsibilities with supervision, set priorities and deadlines, and adjust workflow to meet team and patient needs. Maintain hardcopy patient records for non-computerized data and manage the electronic white board for emergency preparedness; update Bed Management Solution (BMS) to reflect current operational beds and bed status; enter changes in patient room assignments; maintain isolation and EMS icons as needed. Serve as liaison between Decedent Affairs, Patient Effects staff, and the unit. Coordinate maintenance of equipment with Engineering and meet daily with Engineering Service to ensure work requests are completed. Ensure accurate information is entered into VistA/CPRS systems. Receive telephonic requests for information and refer to appropriate physician; interact with patients in person or by telephone as requested by supervisor or health care team. Observe patients for physical or emotional reactions and provide reassurance during activities. Order supplies and equipment using automated systems. Respond to client requests and resolve family/patient/employee complaints or forward unresolved items to supervisor as appropriate. Assist in treatment of disorders and perform administrative work; contribute to the patient health care plan through data entry and patient teaching as outlined by the clinician. Collate staffing sheets, verify correlation with schedules, and process overtime information; scan staffing sheets to timekeeper and payroll. Facilitate consultations via VA Video Conference (VVC) and set up telemedicine equipment as needed for the provider and patient. Work Schedule

Pay: Competitive salary with potential higher step rate based on qualifications or special needs of the VA. Paid Time Off: 37-50 days per year (13-26 days annual leave, 13 days sick leave, 11 federal holidays). Parental Leave: Up to 12 weeks after 12 months of employment. Child Care Subsidy: Up to 25% of eligible childcare costs for eligible children with annual family income below $144,000 after 60 days of employment (up to monthly max $416.66). Retirement: Traditional federal pension and federal 401K with VA contributions. Insurance: Federal health/vision/dental/term life/long-term care. You must be a U.S. Citizen to apply for this job. Selectives Service registration required for males born after 12/31/1959. Must be proficient in written and spoken English. Applicants pending completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met. Basic Requirements

United States Citizenship: Citizen of the United States (non-citizens may be appointed under VA policy when qualified citizens cannot be recruited). Experience or Education: Six months clerical/administrative or related work OR one year above high school education OR an equivalent combination of experience and education. Certification: None required. Foreign Education: If applicable, must be evaluated for equivalency to U.S. education. Physical Requirements: See VA Directive and Handbook 5019. English Language Proficiency: MSAs must be proficient in spoken and written English. Grade Determinations

In addition to the basic requirements, the following criteria apply for each grade level. The candidates qualifications must demonstrate the required level of competence. GS-3: Entry level; supervision provided. KSAs include courteous interaction, entry of administrative data, knowledge of basic medical terminology, and ability to take patient messages. GS-4: Developmental level; minor and less frequent guidance. KSAs include effective communication with diverse individuals and team members, use of office equipment and scheduling software, basic medical terminology, and recording patient messages. GS-5: Full performance level. KSAs include operating computerized systems for electronic health records and scheduling, advanced medical terminology knowledge, independent appointment scheduling, independent patient support work, professional communication, and customer service skills.
