QUALIFICATIONS

The ideal candidate must possess at least a high school diploma or equivalent. They should have excellent verbal and written communication skills, along with strong interpersonal abilities to professionally represent the district to employees, the public, parents, government, and community officials and organizations. Proficiency in using office equipment and technology, including familiarity with security cameras, TV monitors, and documents for monitoring, is essential. The candidate must be able to handle sensitive and delicate phone calls, provide administrative support, and demonstrate strong organizational skills with the ability to multitask efficiently. Knowledge of de-escalation techniques and security protocols for handling phone calls and in-person guests is required. Previous experience in a front desk or administrative role is preferred.

DESCRIPTION

The Discipline Administrative Assistant for the high school is responsible for providing professional and courteous service to all visitors, employees, and stakeholders. This role involves maintaining student discipline files, gathering and organizing records; scheduling discipline hearings and meetings at the School Board Office; serving as a contact for parents-students; and making arrangements for student's attendance at community organization activities. The position also assists with managing the front desk area, handling incoming and outgoing communications, and supporting various administrative functions to ensure smooth operations within the central office.

GENERAL DUTIES (May not include all duties performed) Greet and assist visitors, ensuring they feel welcomed and directing them to the appropriate departments. Assist with maintaining student discipline records and documentation. Process disciplinary referrals, detentions, suspensions, and expulsions. Schedule and coordinate discipline-related meetings between students, parents, and staff. Handle communication with parents and guardians regarding student disciplinary actions when necessary or requested by administration. Provide administrative support to the school administration and discipline staff. Maintain confidentiality of sensitive information related to student behavior and discipline. Generate reports on student behavior and disciplinary trends. Assist with monitoring student behavior in common areas and during school activities Answer phone calls and emails related to discipline issues, providing information or directing inquiries to appropriate personnel. Operate the telephone switchboard, answering inquiries, forwarding calls, and taking messages. Provide general assistance and backup support to other school secretaries. Type reports, correspondence, forms, letters, notices, newsletters, receipts, vouchers, and other materials from rough drafts or instructions. Utilize word processing, database management, and spreadsheet software to accomplish tasks. File a variety of documents according to established procedures. Collate and mail pamphlets, newsletters, supplements, and other materials. Perform other duties and special projects as required.

SUPERVISION

Work is performed under the direction and supervision of the Principal, Assistant Principal and other designated disciplinary staff.

WORK CONDITIONS

The role is primarily based in the central office lobby area, requiring long periods of sitting and standing. The administrative assistant will interact with a diverse group of individuals, including staff, students, parents, and community members, and must be able to handle high-stress situations and de-escalate conflicts effectively. The position requires adherence to strict security protocols and measures. Work hours are typically during regular school office hours, but flexibility may be required for special events or projects.
