The ideal candidate will have the following qualifications and experience.
Qualifications
- Strong understanding of charter school operations or prior experience in this field
- Experience in project management with a forward-thinking lens
- Experience in planning, prepping and overseeing school-based assessment and NYS exams
- Exceptional ability to demonstrate operating values in every aspect of work
- Exceptional ability to develop and maintain productive and collaborative relationships
- Physical Requirements: Must be able to push, pull and lift up to 20 pounds
- Bilingual (Spanish/English) preferred
Compensation & Benefits: $25 - $28 per hour. Launch compensation is highly competitive and includes a full benefits package. The school supports individuals with obtaining certifications and resources upon hire if applicable. Responsibilities
Administration Assistant Responsibilities:
The below job description describes the general nature and level of work and is not exhaustive. (30 min lunch, non-exempt, eligible for overtime)
Recruitment
- Support student recruitment by prepping for open houses and other recruitment events
- Support enrollment team by following up with families and checking documents as needed
- Support enrollment during March–May with lottery preparations, new parent calls, event support, and enrollment documentation
- Attend select events to support English/Spanish translation
Main Office Management and General Support
- Coordinate with Operations to maintain a welcoming main office environment
- Manage main office operations, including systems, cleanliness, and staff presence
- Stock and organize essential forms (late passes, dismissal letters, medical forms, withdrawal forms, etc.)
- Assist with student inquiries (MetroCards, enrollment letters, school forms, nursing)
- Answer phones and greet students, parents, and guests
- Process new admissions and communicate with new families
- Support routine mailings (report cards, newsletters, etc.)
- Stock passes and signage for late arrivals, dismissals, and nurses
- Communicate late arrivals/dismissals/nurse referrals to staff via SLACK
- Ensure classrooms have appropriate passes and signage
- Support operations projects (printing, sorting, distribution)
- Oversee hallway upgrades and signage
Front Desk Management
- Serve as the point of contact for students, families, and staff
- Direct communication to appropriate staff and document information as needed
- Assist students with late arrivals, nursing needs, and early dismissals
- Assist with collection of Launch/DOE forms, student documents, and medical notes
Communication
- Oversee regular family communications about events, dates, and notices
- Assist operations with outreach for documents, appointments, and projects
- Design school flyers and posters for events, testing, and holidays
Student Information Systems
- Maintain updated family contact information
- Upload withdrawals and new enrollment forms to ALMA
- Provide routine reports (RMEL, ELL, etc.)
- Update ALMA attendance, contact, and student information
- Distribute and track student documents (immunizations, BCs, POR, physicals, blue cards, etc.)
Mail, Packages, Deliveries and Purchases
- Manage mail/packages checks and deliveries; handle store/purchase orders
- Lead school mailings and distributions
- Escalate missing packages appropriately
- Assist with last-minute purchasing
School Events Coordination
- Coordinate set-up and breakdown of events
- Provide operational support for school-wide events (parent-teacher conferences, back-to-school night, etc.)
- Support logistics for celebrations and oversee picture day schedules
School Operations Systems
- Maintain SchoolMessenger, ALMA, and other platforms
- Organize student, staff, and family groups
- Assist RSOM with external parent-facing docs
Miscellaneous
- Perform additional tasks as needed; lead training/onboarding for operations projects
- Support training and coaching of junior operations staff
- Collaborate on operational projects with department teams
- Support onboarding with staff IDs and start-of-year items
- Conduct ALMA training and walkthroughs for new staff
- Other duties as assigned; support positive culture in common spaces
