Overview
Receptionist role at Aria Community Health Center (ACHC). ACHC is a Federally Qualified Health Center and licensed primary care clinic providing Family Medicine and Dental Care with additional specialists. Clinics are located across Fresno, Kings and Tulare counties.
Responsibilities
- Performs day-to-day administrative functions and general office duties including word processing, copying, scanning, faxing, answering phones and data entry.
- Provides information to ACHC callers according to Policies and Procedures; transfer calls as needed; ensures adequate phone coverage.
- Welcomes and greets patients/clients/visitors, determines purpose of visit, and directs them accordingly.
- Schedules patient flow to the clinic based on appointment arrangements to serve an appropriate number of patients.
- Screens patients for new address, new patient visits or updates registrations when scheduling; informs patients of information required at visit.
- Identifies patients without medical coverage and provides insurance options; facilitates enrollment assistance for Qualified Health Plans (e.g., Medi-Cal, Covered California, sliding fee discount, or other Medi-Cal programs).
- Follows up with patients after enrollment to confirm coverage and communicates with billing on updates to coverage.
- Adheres to ACHC safety and security policies; safeguards restricted areas, keyless entry codes, and computer passwords with confidentiality.
- Exhibits diplomacy and tact to provide excellent customer service; maintains confidentiality and privacy per ACHC policies and HIPAA.
- Maintains waiting areas, office files, and front-desk areas in an organized and neat manner.
- Informs patients of existing balances and collects data or payments as appropriate at time of visit.
- Calls patients daily to confirm next day’s appointment.
- Verifies payment method for services and assists with data entry or payments as needed.
- Uses problem-solving and conflict-resolution skills to handle patient complaints or refer to the appropriate personnel.
- Attends scheduled departmental staff and clinical meetings.
- Performs other duties as assigned.
Qualifications
- Maintains confidentiality in accordance with HIPAA standards; demonstrates diplomacy and tact; strong customer service and interpersonal skills; culturally sensitive with diverse populations.
- Intermediate to advanced phone skills; capable of effective telephone and in-person communication to serve ACHC patients effectively.
- Flexible and able to adapt to changing department needs.
- Verbal and written communication in English and Spanish is preferred; other languages desirable.
- Knowledge of basic math and modern office procedures.
- Ability to work under pressure with minimal supervision; flexible and able to handle various tasks.
- Basic to intermediate computer skills; typing minimum 45 WPM; ability to operate a 10-key calculator by touch is preferred.
Education and Experience
- High school graduate or equivalent plus six months of medical receptionist experience in a comparable healthcare setting; prior administrative/clerical experience in clinical or community-based settings is highly preferred.
Physical Requirements
- Hearing adequate for in-person and telephone duties; clear communication.
- Vision adequate for reading printed materials and computer screens.
- Aptitude for tasks requiring learning, memory, focus, categorization, decision-making, problem-solving, and information integration.
- Occasional lifting up to 20 pounds; regular bending, reaching, keyboarding, standing, walking, squatting, and sitting, with some lifting, pushing, and pulling throughout shift.
