Receptionist at Atria Management Company
Responsibilities include providing information to callers and visitors, handling messages, coordinating reservations, maintaining calendars and office supplies, accepting deliveries, and performing various clerical duties. This role may involve basic operations of office equipment, rent collection information for bookkeeping, and occasional driving of the company vehicle if required by the community.
Responsibilities
- Answer incoming telephone calls in a cheerful, marketing-oriented manner; determine caller purpose and forward to appropriate personnel or department.
- Retrieve and forward voicemails; take and deliver messages or transfer calls to voicemail when needed.
- Answer general questions about the community, provide directions and information, and refer specific questions to staff.
- Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
- Coordinate guestroom reservations.
- Maintain current list of residents who are hospitalized; update appointment calendars (including transportation and beauty calendars).
- Receive, sort, and route mail; maintain and route publications; distribute written communications and sign for deliveries.
- Operate and assist with copy and fax machines; create and print memos, reports, and other documents as needed.
- Perform other clerical duties as needed (filing, photocopying, collating); order, receive, and maintain office supplies.
- Collect rent checks from residents and family members; provide information to bookkeeping for billing; collect money for store purchases and meal tickets as applicable.
- May drive company vehicle to community events or destinations if required by the community.
- May perform other duties as assigned.
Qualifications
- High school diploma or GED; or 1–3 years related experience and/or training; or equivalent combination of education and experience.
- Basic First Aid and CPR certification where required.
- Able to read and comprehend simple instructions and memos; able to write simple correspondence; able to present information clearly in one-on-one and small group settings.
- Able to perform basic arithmetic (addition, subtraction, multiplication, division).
- Able to follow detailed written or oral instructions and to handle a few concrete variables in standardized situations.
- Able to operate telephone, emergency call system, monitoring board or beeper, and photocopier; able to work various schedules and shifts as needed.
