THE JOB OVERVIEW PROVIDES administrative support to the Human Resources Department, which includes Training, Assistant Human Resources Director, Human Resources Director, Recruitment Manager and Payroll Master. Serves as the first point of contact for all employees and visitors to the human resources office.

Overview

The Human Resources Coordinator supports the HR department and acts as the first point of contact for staff and visitors, assisting with daily HR functions across training, recruitment, and payroll processes.

Responsibilities and duties

  • Builds partnerships with internal customers including HR partners and business leaders to solve challenges and drive process improvements.
  • Prepares and maintains the employee handbook and onboarding packet.
  • Orders operating supplies for the human resources office.
  • Updates parking and dry cleaning lists and distributes termination lists to IT, Security, Uniform and General Cashier Department.
  • Manages the business card process.
  • Updates all communication tools including bulletin boards, televisions, etc.
  • Sends staff announcements such as promotions, new management additions, etc.
  • Coordinates staff gifts such as flowers, etc.
  • Creates Purchase Orders for approvals via Oracle system.
  • Maintains and creates employee files, I-9s and employee medical files, including updating terminated employee files.
  • Generates I-9 reports monthly to update employment authorizations.
  • Provides Five Star Service to all team members and visitors arriving at the human resources office and assists with their needs.
  • Documents and maintains Outlook calendar for the Human Resources Director.
  • Creates and distributes all necessary forms for new hires such as technology forms.
  • Updates the dry cleaning and parking list weekly or as needed.
  • Updates IT, Uniform and Security departments of all new hires and terminations.
  • Conducts regular employee files and I-9 audits.
  • Assists the Human Resources Director to organize all employee relations activities.
  • Processes employee requests such as Friends and Family discounts, stay-on-property permissions, transfers, etc.
  • Maintains working knowledge of all benefits policies, procedures, and programs including group health insurance, LTD, STD, FMLA, and COBRA.
  • Inspects grooming and attire of staff and rectifies any deficiencies with Department Managers.
  • Maintains and distributes job descriptions for all positions.
  • Recommends new approaches, policies, and procedures to improve the Human Resources department.
  • Generates and distributes birthday and anniversary lists.
  • Coordinates staff uniform fittings prior to first day of work.
  • Various other duties as assigned.

Recruitment

  • Supports recruitment process including onboarding, background screening and new hire documentation.
  • Teaches and encourages Hiring Managers to utilize Applicant Tracking System.
  • Routes applications to respective department managers; assists in scheduling interviews and sends regret letters where designated.
  • Supports recruitment events such as career fairs.
  • Conducts reference checks.

Training

  • Schedules all new hires to attend orientation on their first day.
  • Coordinates with Catering and Banquet Departments to create and verify all BEOs for trainings and internal events.
  • Prepare and set up materials for trainings.
  • Collects and files all department training checklists and files accordingly.
  • Tracks trainings for all employees and coordinates with payroll to ensure accurate payroll for all training events.
  • Maintains state compliance training database with vendor.
  • Maintains training plans and all records for the J1 Training Program.

Payroll Responsibilities

  • Enters new hires in the ADP system.
  • Enters and updates employee information in ADP such as W-4, Direct Deposit, PAF changes, etc.
  • Initiates the process to enter new hires into biometrics clock.
