The

Alumni Reunion Manager

serves as a key ambassador for the U.S. Naval Academy Alumni Association and Foundation (AA&F), guiding alumni classes through every stage of their reunion journey – from first planning meeting to post-reunion debrief. Acting as the staff liaison to each class's Reunion Planning Committee, this role provides strategic leadership and expert guidance, serving as a trusted advisor rather than an event executor. The Alumni Reunion Manager does not directly manage or implement reunion events, but instead empowers reunion committees by offering mentorship, resources, and best practices to help them plan and deliver meaningful, memorable and well-organized reunions.

With deep knowledge of AA&F policies, best practices, and event logistics, the Alumni Reunion Manager offers tailored recommendations across all aspects of reunion planning-from registration services and venue selection to catering, transportation, and tailgate coordination. The role also includes on-the-ground logistical support during reunion events to ensure a seamless experience.

By fostering collaboration and offering thoughtful guidance, the Alumni Reunion Manager helps create meaningful connections and unforgettable experiences that strengthen the lifelong bond between classmates and the Academy.

This is an exempt position reporting to the Senior Director, Alumni Regional Engagement and Outreach. This is not a remote position and must report into the Fluegel Alumni Center.

This position is based in historic Annapolis

at our current offices located next to the beautiful grounds of the U.S. Naval Academy. In 2023, the staff of the Alumni Association & Foundation moved into the new

Fluegel Alumni Center

, which was built on the banks of College Creek overlooking the Naval Academy and downtown Annapolis.

competitive salary,

commensurate with experience, and may be eligible for an annual performance-based bonus, when applicable. We offer

Responsibilities

In providing reunion planning support, the Alumni Reunion Manager's responsibility is to coordinate with reunion committees in the planning of alumni class reunions in the following ways:

Serve as the primary staff liaison for planning, logistics, and coordination of 12–17 annual class reunions, ensuring smooth execution and alignment with AA&F standards.

Provide expert recommendations on commercial platforms and services for registration and overall event management tailored to each class's needs.

Attend and advise individual class reunion committee meetings, offering strategic guidance and best practices throughout the planning process.

Represent the AA&F at major reunion events and activities, which typically occur on weekends and evenings surrounding Navy home football games; a flexible work schedule is essential.

Serve as a standing member of the Reunion Advisory Committee, contributing insights to enhance reunion programming and policy development.

Maintain and update the Reunion Handbook regularly and provide necessary updates to the Class President Handbook in collaboration with the Director of Class Programs.

Act as a subject matter expert on enterprise reunion policies and procedures, including U.S. Naval Academy Instruction 11100.7 (series), and oversee usage and scheduling of the AA&F Fluegel Alumni Center and NAAA/Navy Marine Corps Memorial Stadium facilities.

Liaise with local venues, hotels, catering, and hospitality providers to offer vetted recommendations, capacity details, and contacts – leveraging the AA&F brand to secure favorable pricing and discounts.

Secure and coordinate seasonal part-time staff to support reunion check-in, swag assembly, and event day support as requested by the reunion class.

Assist the Director of Class Programs with reunion logistics for events held on Naval Academy grounds, such as memorial services and class meetings.

Help maintain accurate reunion records in the CRM system, including contact information, attendee lists, and records of deceased classmates.

Facilitate post-reunion debriefs with reunion classes to capture lessons learned and inform future planning.

Oversee the major reunion mail process, including the collection of reimbursable fees and timely distribution of materials.

Other reunion and class-related duties as assigned.

Preferred Qualifications

Strong familiarity with the U.S. Naval Academy

Bachelor's Degree in a hospitality or business-related field, or equivalent experience

Expertise in event management, hospitality, and strong project management and organizational capabilities.

Exceptional interpersonal, leadership, and communication skills, with responsibility for managing all platforms of communication – including emails and phone calls – requiring excellent verbal and written proficiency.

Collaborative mindset and strong customer-focused orientation.

Experience working under tight deadlines, managing multiple priorities, and producing high volumes of work.

Strong problem-solving abilities, thoughtful constituent engagement, and adaptability to navigate unexpected challenges with professionalism.

Familiarity with CRM database systems (Blackbaud preferred), including experience with queries, exports, and reporting.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), with in-depth knowledge to support the reunion committee's planning and execution.

Additional Requirements

Able to pass U.S. Federal Government background check and obtain installation access

Must be able to work evenings and weekends as needed, according to the event calendar, including weekends associated with Navy football games

Position may occasionally require travel (2-3 times a year)

Traditional work environment: may be physically demanding at times – must be able to lift 40 lbs.

Access to a vehicle for event-related tasks as needed
