Key Responsibilities: ·Supporting the first chair secretary in their duties and responsibilities, providing backup and assistance as needed. ·Assisting in the organization and management of meetings, including scheduling, agenda preparation, and documentation. ·Taking accurate minutes during meetings, summarizing discussions, decisions, and action items for distribution to attendees and stakeholders. ·Maintaining organized and up-to-date records of meeting minutes, correspondence, and other relevant documents. ·Facilitating communication within the organization by distributing information, announcements, and updates to members and stakeholders. ·Assisting in managing the organization's calendar, scheduling appointments, and coordinating events and activities. ·Assisting in handling incoming and outgoing correspondence, including emails, letters, and phone calls. ·Assisting in the preparation and organization of various documents, reports, and presentations as needed. ·Ensuring compliance with organizational policies and procedures related to secretarial functions, including record-keeping and confidentiality. ·Providing administrative support to the secretary and other members of the executive team, including completing tasks and projects as assigned.
