Senior Administrative Assistant

Location: Saint Paul, MN Compensation: $25-29/hour Position Summary We are seeking a detail-oriented and professional Senior Administrative Assistant to support the Deans' office. The role will report directly to the Executive Administrator for the Deans and will play an important role in managing daily operations, scheduling, communications, and event coordination. Responsibilities Provide daily administrative support to the Deans' office, including scheduling, calendar management, and correspondence. Serve as a point of contact for internal staff, students, and external partners. Coordinate meetings, prepare agendas, compile materials, and capture meeting minutes with follow-up on action items. Assist in planning and executing events, including logistics, catering, and vendor coordination. Arrange domestic travel, lodging, and transportation as needed. Draft, edit, and proofread documents, presentations, and reports. Prepare and reconcile expense reports and maintain accurate financial records. Maintain organized filing systems (electronic and paper) and ensure records are up to date. Monitor and prioritize incoming emails, calls, and requests to ensure timely responses. Assist with special projects, research, and reporting as assigned. Provide backup support for other administrative staff within the office. Uphold a high level of discretion and confidentiality in all aspects of the role. Qualifications Previous executive or administrative assistant experience required. Strong organizational, communication, and interpersonal skills. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Ability to manage multiple projects and priorities with accuracy and attention to detail. Professional judgment, discretion, and ability to handle confidential information.
