Operations Capital Administrative Assistant

The Administrative Assistant to Senior Director provides administrative support to department Senior Director. Provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Duties include general clerical, receptionist and project based work. Must project a professional company image through in-person and phone interaction.

Responsibilities and Essential Job Functions

  • Assists with various organization and departmental activities and preparation of statistical reports as directed including various projects.
  • Coordinates gathering of information and preparation of materials necessary for various appointments, meetings, trips, etc. Takes minutes at meetings upon request.
  • Establishes and maintains confidential files in an appropriate format to facilitate access to information.
  • Establishes priorities based upon own initiative and discretion.
  • Makes travel arrangements for department staff as requested.
  • Order departmental supplies and maintain supply cabinets. Order food and/or refreshments for meetings as requested.
  • Oversees the Senior Director's calendar for appointments, reminders and public/professional events.
  • Provide support to the Senior Director for responsibilities associated with various organizational committees.
  • Provides administrative support to Senior Director, managers and staff with projects as requested. Serves as the Senior Director's point of contact for all incoming communications from employees, clients and associates.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience

  • High School Graduate
  • 3 or more years broad administrative/secretarial experience

Preferred Education and Experience

  • Bachelors Degree or Technical/Professional training/degree in Business School Training

Knowledge Requirements

  • Proficiency in Microsoft Word, Excel, Powerpoint and Access
  • Ability to be flexible and adapt to change while maintaining a high level of professionalism, with an emphasis on positive customer relations
