Overview
This position provides administrative support for the Mountain View propertya Class A office space and part of our approximately 695,000 square-foot portfolio in Northern California. As Assistant Property Manager, you will assist the Property Manager in the daily operations of the site, ensuring smooth building management, excellent tenant relations, and effective coordination with vendors. Responsibilities
Reception and Office Support
Open the management office on time, ensure readiness to answer calls, and follow end-of-day closure procedures. Maintain overall office tidiness, including supply and kitchen areas. Greet visitors and maintain courteous, professional customer service at all times. Supplies and Mail
Manage regular inventory of office and kitchen supplies; place orders and receive deliveries. Sort incoming mail; handle same-day and overnight shipments as required. Invoicing and Documentation
Code invoices electronically to ensure timely processing. Maintain organized hard-copy and electronic filing systems, including tenant leases, contacts, certificates of insurance, and vendor contracts. Create work orders for service requests and track them through completion. Tenant and Vendor Support
Respond promptly to tenant emails, calls, and work orders. Process access badge and key requests; prepare related invoices. Compile tenant billable charges and include them in monthly rent statements. Prepare routine tenant correspondence, memos, and notifications (e.g., building holidays, planned maintenance). Coordinate and track tenant moves, ensuring all documentation is in place for smooth transitions. Schedule service requests with vendors; monitor completion and ensure costs are appropriately billed back to tenants when applicable. Property Management Assistance
Maintain and update tenant and vendor contact lists; track certificates of insurance. Assist in tenant event planning and building programming. Support Senior Property Manager (SPM) and Property Manager (PM) with administrative tasks, vendor oversight, and construction or tenant improvement projects. Perform routine site inspections, respond to maintenance issues, and report security incidents. Help ensure compliance with emergency and evacuation procedures. Skills and Competencies
Understanding of office property management procedures and strong customer service orientation. Excellent oral and written communication skills; ability to read and interpret leases and technical documents. Strong organizational and multitasking abilities; adept at managing priorities and responding to changing situations. Proficiency in Microsoft Word, Excel, and database applications; familiarity with accounting software is a plus. Ability to write reports, routine correspondence, and communicate effectively with tenants and vendors. Construction management experience and accounting knowledge are beneficial but not required. Education and Experience
Business College or Associate degree preferred. Minimum of one year in a professional business environment requiring strong customer service skills. Bachelors degree in Business or related field is a plus.
