Festival Associate Manager, Event Beverage Logistics

The Festival Associate Manager, Event Beverage Logistics is responsible for managing logistical planning for beverage needs for the Sundance Film Festival events. Working closely with the Associate Director, Event Operations, the Festival Associate Manager, Event Beverage Logistics supports the Institute's commitment to a successful and positive event experience for all artists and patrons. This temporary position works full time from Wednesday, October 22, 2025 through Friday, February 13, 2026 and will be required to work extended hours, including evenings and weekends to meet key deadlines and respond to on-call needs. This position may work remotely from a state we currently legally operate in until in-person responsibilities begin in January but preference will be given to candidates based in UT. Top priorities include but are not limited to: Collaborating with Events Department leadership and event leads to strategically assess event beverage needs, allocations, and distribution plans from past festivals and make adjustments for the current year. Developing alcohol and beverage projections for Festival events. Working closely with Festival Sponsors on representation, activations, recipes, and logistical needs. Working with event caterers on planning for beverage services at events, including point of sales, training, recipe distribution, etc. Meticulous tracking and documenting beverage consumption for each event. Working closely with the Department of Alcoholic Beverage Services on ordering products, staying within budget, arranging appropriate delivery windows for the Festival, and ensuring compliance with the state. Scheduling, communicating, and tracking the delivery of all beverage and point of sale items to and from all events, working closely with the Production Department. Ensuring that all bars are set up properly at all events including any signage, Point of Sale items, and displays. Troubleshooting any beverage-related issues that may arise at events during the Festival. Serving as the key liaison and an expert resource for the Festival beverage program. Working closely with the Production Department on all shipments, ensuring storage and distribution plans are clearly detailed and communicated. Working with the marketing department on all copy for bar menus and with the Corporate Partnerships team to ensure all partner recipes and logos are accurately represented. Managing and finalizing alcohol orders while ensuring compliance with legal and regulatory requirements. Partnering with employees and volunteers across departments to distribute sufficient stock and manage product supply. Overseeing inventory and ensuring organization within the storage space throughout the Festival; completing a final inventory at the end of the Festival. Auditing expenses against projected and actual budgets to stay within allocations. Auditing consumption against projections for final reporting post-Festival. Providing hands-on support for the event team with various projects, including assisting with onsite event execution as assigned. Scheduling and managing assigned volunteers and completing evaluations to provide feedback. Completing a comprehensive written wrap report as directed. Supporting Events Department operations, Manager, Events, and Associate Director, Events as assigned. You have the following direct or transferable skill sets: Legal authorization to work in the United States. Valid driver's license and successful completion of MVR background check. 3 years experience in beverage logistics, account management, relationship management, brand partnerships, events management, or related. Outstanding verbal, written, and interpersonal communication skills to work with a variety of people. Excellent organizational skills and ability to prioritize. Ability to maintain confidential information. Strong customer support skills. Previous experience with live events and products preferred. Working knowledge of databases along with proficiency in Google Products a plus. You will be successful in this role if you: Precisely track and document beverage projections, orders, and consumption across all Festival events.
