POSITION TITLE: Human Resources Coordinator REPORTS TO: Director of Human Resources Pay: $27.00 - $32.50 (Hourly, Non-exempt) Schedule: Monday - Friday Description
The Human Resources Coordinator provides critical day-to-day administrative support to the Human Resources Department, ensuring smooth and compliant execution of core HR functions. Key responsibilities include employee lifecycle support such as onboarding, training coordination, recruiting assistance, and compliance tracking. The role also manages leave administration, employee files, HRIS data integrity, and serves as the first point of contact for employee inquiries. The coordinator triages employee concerns related to benefits and retirement savings plans, escalating issues as appropriate. The ideal candidate is detail-oriented, highly organized, and committed to delivering excellent internal and external customer service while maintaining compliance with applicable laws/regulations and hospital policies. Key Responsibilities
Employee Support & Front-Line Service: Serve as the first point of contact for employee questions regarding HR policies, forms, procedures, and general concerns Distribute, collect, and manage HR documentation including forms, notices, employment verifications, and paychecks Provide timely, professional responses to employee inquiries and redirect complaints or concerns as appropriate Manage the Employee of the Month process, including nominations, communications, and recognition logistics Collect HR mail from the mailroom and route appropriately Any additional related duties as requested by the HR Department or other administrator Leave Program Management: Administer and manage all leave of absence programs (FMLA, CFRA, ADA, bereavement, etc.), including eligibility determination, documentation, and return-to-work coordination Complete disability-related forms and ensure timely communication with employees throughout the leave process Coordinate modified duty assignments and ensure compliance with federal, state, and internal policies Maintain leave records and monitor timelines to ensure continuity and compliance HRIS, UKG & Systems Administration: Maintain accurate employee records in the HRIS and personnel files, ensuring compliance with document retention policies and audit readiness Set up and manage HRIS/Payroll employee profiles, including position, status, and rate changes Administer HRIS/Payroll password resets, timeclock biometric enrollment, and ID badge issuance Manage general access provisioning for IT systems, training system, and HRIS/Payroll system Pull reports and conduct data analysis in HRIS/Payroll system and other systems as needed Recruitment Support: Support the HR Generalist with recruitment activities as needed, including posting ads, collecting resumes, and responding to candidate inquiries; assist with initial candidate screenings and interview coordination; maintain and update hiring materials; coordinate onboarding logistics Training & Compliance Tracking: Organize and support employee training and orientation programs including CPR and annual compliance training; maintain training materials; track completions and licensure for compliance Collaborate with HR and hospital leadership to monitor employee compliance with health and training requirements General HR Operations: Provide administrative support to the HR Department including scheduling, filing, compliance documentation, and special projects; collaborate on operational initiatives; ensure HR processes meet standards
Requirements
Minimum Requirements: Knowledge and Experience At least two (2) years of experience in HR administration or operations Familiarity with HRIS systems (UKG, etc.) Working knowledge of leave laws and compliance basics Strong organizational and time management skills Excellent interpersonal and written communication skills High level of discretion and confidentiality Bachelors degree in Human Resources, Business Administration, or related field preferred PHR and/or SHRM-CP certification preferred Health care industry preferred Skills and Abilities Our team operates in a straightforward, collaborative environment that values clarity, consistency, and mutual respect.
