Responsibilities and Essential Duties
- Process employee transactions including new hire, terms, transfers, personal data and job changes utilizing forms and HRIS (Workday, PeopleSoft).
- Administer program and process tuition waivers.
- Screen and interpret telephone calls; greet visitors; provide information on policies and operations.
- Organize and maintain confidential files, including personnel actions, union documents, maintenance contracts, and other legal documents; maintain a log of labor grievance activity.
- Make arrangements for meetings, including scheduling, notification and preparation of materials, including meeting notes.
- Maintain office supplies, prepare requisitions, order and receive supplies, and related materials for the acquisition and payment of goods and services.
- Prepare reports, correspondence, meeting minutes and other documents; set up and manage spreadsheets for tracking and analytic purposes.
- Perform related clerical tasks such as filing, copying and managing office equipment; initiate requests for goods, services or information.
- Occasional duties: Perform other duties and responsibilities as assigned by HR leadership team.
Required Skills, Knowledge, And Abilities
- Prioritize work to ensure efficiency and meet deadlines; maintain an office environment that is sensitive to the needs of employees, College and other agency officials and the general public.
- Maintain cordial working relationships with various college departments to ensure proper processing, delivery and/or receipt of information.
- Assist with large-scale department activities.
Required Qualifications
- High school diploma required.
- At least three years of progressively responsible experience in a complex professional environment.
- Excellent time management and organizational skills in a multiple-priority environment.
- Proficiency with word processing, spreadsheets, databases and scheduling software; excellent interpersonal and written and verbal communication skills.
- Working knowledge of MS Office applications and HRIS (e.g., Workday, PeopleSoft, UKG or similar).
- Demonstrated experience in organizing, coordinating and supervising support staff; demonstrated ability to maintain confidentiality; demonstrated ability to work in a culturally diverse environment.
Preferred Qualifications
- Associate's degree preferred.
- Ability to respond to internal and external stakeholders in a polite, sensitive and competent manner.
- Excellent communication, organizational and analytical skills.
- Demonstrated competency in using MS Office applications and HRIS (Workday, PeopleSoft, UKG or similar).
- Ability to understand and maintain the confidentiality of employee personal information related to union matters, affirmative action matters, HR transactions, files and reports.
- Ability to remain calm under pressure and to collaborate cooperatively with others.
