Job Title: Customer Support Coordinator

Job Summary

The Customer Support Coordinator is responsible for managing customer inquiries, purchase orders, claims, and ongoing account needs. This role requires strong organizational skills, effective communication, and the ability to maintain positive client relationships while ensuring timely and accurate order processing.

Key Responsibilities

  • Receive, review, and process customer inquiries, purchase orders, and claims.
  • Prepare and send open order status reports to customers.
  • Maintain and strengthen relationships with existing clients while supporting new accounts.
  • Coordinate full container load and warehouse release orders.
  • Submit orders to production for materials including batteries, labels, and other components.
  • Support Sales Managers with requests related to pricing, inventory, and product availability.
  • Partner with customers to create, update, and revise artwork based on specifications.
  • Collaborate with warehouse and quality control teams to ensure accurate order fulfillment.
  • Manage defective order claims, returns, and credit processes.
  • Track and achieve set goals within defined timelines.
  • Oversee daily client communications and address customer concerns promptly.
  • Coordinate logistics, including trucking arrangements and shipment tracking.
  • Prepare progress reports and quarterly performance reports.
  • Generate invoices and maintain accurate order processing records.
  • Perform additional duties and responsibilities as assigned.

Qualifications

  • Education: Associate's Degree preferred.
  • Experience: At least 1 year of related customer support or order processing experience preferred.

Skills & Competencies

  • Strong time management and organizational skills with the ability to multitask.
  • Self-motivated and proactive in handling tasks and challenges.
  • Comfortable working in a fast-paced, high-volume environment.
  • Solid knowledge of customer service principles and practices.
  • Familiarity with industry-specific terminology.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency in order entry, inventory monitoring, and invoicing systems.
  • Ability to accommodate general and special customer requests while ensuring accuracy and efficiency.
