Job description
PROJECTXYZ is seeking a professional and friendly Receptionist to manage our front desk operations and provide comprehensive administrative support. As the first point of contact, this role is crucial in creating a positive and welcoming experience for all visitors and callers, while also ensuring the smooth and efficient operation of the office environment.
As the receptionist you will be responsible for managing our front desk, greeting visitors, answering phone calls and performing administrative tasks. The receptionist will ensure smooth day-to-day operations and provide a welcoming experience for guests, customers and employees.
Essential functions • Greeting visitors and directing them to the appropriate person or department. • Provide information to visitors and answer inquiries. • Answering and routing phone calls professionally to the appropriate personnel. • Maintain office security by following safety procedures and controlling access via the reception desk (e.g., monitor logbook, issue visitor badges). • Assist with appointment schedules and calendars as needed. • Handling incoming and outgoing mail and packages. • Do inventory and order office supplies/janitorial supplies. • Maintain a clean and organized reception area. • Assist with administrative tasks as needed. • Water plants and feed fish outside as needed. • Make sure coffee and water is available when we have visitors. • Organize and order lunch for meetings when asked. • Perform other duties as assigned
Work environment • Office
Qualifications: • High school diploma or equivalent • Must have at least one (1) year previous experience in a similar position • Customer service attitude • Excellent verbal and written communication skills • Experience with office equipment is a plus (ex: fax machines, printers and phone systems) • Strong organizational and multitasking abilities • Ability to handle sensitive information with confidentiality. • Experience with computer and Microsoft Office Suite Products. • Must possess the skills and knowledge of creative problem solving, be detail oriented with problem solving, decision making, and responsibilities.
Physical Factors: • Prolonged periods of sitting at a desk • Using computer • Must be able to lift to 15 pounds at times.
