The Shipping Care Coordinator is responsible for packaging and shipping patient orders, ensuring timely, accurate, and compliant deliveries. This role involves using internal software, communicating with patients about shipments, and maintaining HIPAA compliance while supporting the overall shipping workflow.
Schedule Details
In-Person (Orange, Ca.) Monday-Friday 8:30am-5:00pm Duties and Responsibilities
Prepare and package patient deliveries, including temperature-sensitive or specialized medications, following proper procedures and safety protocols. Create and apply accurate shipping orders using internal systems. Ensure all packages are properly labeled and shipped to states where the pharmacy is licensed. Coordinate, track, and confirm timely patient deliveries and pickups; resolve courier-related issues, delays, or routing errors as needed. Communicate directly with patients by phone, email, or text to provide updates, address concerns, or assist with reshipments. Deliver professional, compassionate support to patients experiencing delivery issues or shipping delays. Operate postal scales, meters, and internal platforms to process shipments and maintain tracking data. Utilize the CSM software system to reference patient information and document delivery updates and notes, ensuring accuracy and completeness. Maintain detailed and organized records such as shipping logs, progress notes, Bill of Ladings (BOLs), and proof-of-delivery for compliance and audit readiness. Monitor inventory of shipping supplies (labels, etc.) and coordinate timely restocking. Collaborate with production staff to ensure timely movement of completed orders through the shipping process. Keep the shipping workspace clean, organized, and free of hazards. Ensure all shipping activities are conducted in compliance with HIPAA regulations and patient confidentiality standards. Escalate shipping concerns and irregularities to the Workflow Manager. Perform other duties as assigned. Required Qualifications
Basic English reading and writing proficiency Strong math, organizational, and time management skills Ability to apply policies and procedures accurately Basic computer and typing skills Professional phone communication and customer service skills Ability to lift 50-70 pounds and perform physical tasks such as standing, walking, and reaching for extended periods. Education Requirements
High School Diploma or equivalent Preferred Qualification
Previous shipping or logistics experience. Background in a pharmacy or healthcare setting, especially mail-order operations. Experience handling temperature-sensitive medical products.
