Position Summary: Lyte Fiber is seeking an experienced, highly organized, and energetic self-starter to join our team as an Office Manager in our Houston, Texas office. This dynamic role requires a professional who thrives in a fast-paced environment and can handle multiple responsibilities while collaborating across departments. You will be integral in ensuring that our internal operations align with company goals and support a positive work environment.
Key Responsibilities: Office Operations & Administration: • Oversee day-to-day office operations, maintaining an organized and efficient work environment. • Manage office supplies, inventory, and vendor relationships for procurement and services. • Serve as the first point of contact for visitors, maintenance requests, shipping/receiving, and general inquiries. Provide general support to employees and visitors. • Coordinate facility management and on-site deliveries to ensure smooth operations. • Set up internal administrative systems, help manage scheduling for the management team as needed, and assist with office equipment needs.
Financial & Budgetary Management: • Assist with budgeting, expense tracking, and cost management for all office-related expenses. • Support accounts payable and provide general support to accounting for office-related services.
Vendor & Service Management: • Build and maintain strong relationships with vendors, service providers, and landlords. • Provide assistance with contracts, agreements, and service level expectations as needed to ensure optimal service delivery.
Fleet and Safety Coordination: • Provide assistance as necessary in company fleet management coordination. • Support safety initiatives under the direction of operational leadership. • Help track fleet maintenance schedules, inspections, registrations, and related documentation. • Assist with coordinating vehicle assignments, new vehicle onboarding, and driver compliance requirements. • Help facilitate internal safety communications, trainings, and reminders to employees.
Minimum Qualifications: • 3-5 years in administrative or operations management, ideally including office management responsibilities. Additional experience in fleet management or safety coordination will be considered an asset. • Education: A bachelor's degree in Business or Management is preferred, but not required. • Industry Background: Experience in telecommunications or fiber internet is highly desirable.
Skills & Abilities: • Strong organizational, time management, and multitasking skills. • Excellent analytical, problem-solving, and attention-to-detail abilities. • Exceptional communication, interpersonal, and customer service skills. • Proficiency in general office software and tools. • Ability to work effectively with stakeholders at all levels.
Physical Demands & Work Environment: • Desk Work: Prolonged sitting and typing at a desk, with frequent walking within the office. • Communication: Daily verbal interaction via phone, video, and in-person meetings. • Travel: Occasional travel for site visits to other office locations. • Varied Activity Levels: Alternating between desk work and active, on-site tasks.
