The Executive Assistant to the CEO plays a vital role in managing and supporting the CEO's dynamic, fast-paced workflow. This position is responsible for coordinating complex scheduling, preparing executive materials, and serving as the primary liaison for internal and external communications. By overseeing travel logistics, managing correspondence, and ensuring meetings and events are executed seamlessly, the Executive Assistant helps maximize the CEO's effectiveness and focus. This role requires strong organizational skills, clear communication, and the ability to anticipate needs while balancing shifting priorities with professionalism and discretion.

Responsibilities and Duties Executive Support • Manage the CEO's complex and evolving calendar, scheduling meetings, travel, and events while maintaining flexibility. • Organize and coordinate key meetings and events, ensuring logistics are handled smoothly and materials are prepared in advance. • Serve as the primary point of contact for internal and external communications with the CEO, managing incoming messages, phone calls, and emails. • Draft, review, and manage correspondence on behalf of the CEO with professionalism and clarity. • Prepare comprehensive briefing materials for meetings, presentations, and travel, anticipating the CEO's needs for each engagement.

Administrative Support • Arrange domestic and international travel for the CEO, including detailed itineraries and schedules. • Track, reconcile, and manage travel-related expenses to ensure timely and accurate submissions. • Organize and maintain both digital and physical files for efficient access and retrieval. • Oversee administrative tasks to ensure smooth daily operations of the CEO's office.

Team Support • Assist in scheduling, preparing, and distributing materials for team meetings and cross-departmental initiatives. • Provide ad-hoc support to team members and departments to facilitate seamless operations.

Additional Responsibilities • Support the CEO on special projects and administrative initiatives, ensuring deadlines are met and expectations are clear. • Coordinate preparation and delivery of materials for high-level meetings and engagements. • Serve as backup for the Executive Office Manager when needed to ensure continuity of office operations..

General Duties • Perform additional tasks as assigned to support the success of L.A.B.'s leadership team and organizational goals.

Qualifications, Skills and Attributes Education • Bachelor's degree in Business Administration, Management, or a related field required; equivalent experience (minimum 5 years of executive-level support) may be considered.

Experience • Proven experience providing executive-level support in a fast-paced, dynamic environment. • Background in managing complex calendars, travel logistics, event coordination, and expense tracking for senior leadership. • Experience supporting senior executives and adapting quickly to shifting priorities.

Technical Skills • Proficiency in Microsoft Office Suite, Google Workspace, and Zoom. • Skilled in tools that support project management, task tracking, and team collaboration. • Comfortable learning and navigating new systems, databases, and digital platforms.
