Position Overview
The receptionist will be the first point of contact for visitors and clients, handling incoming calls, directing inquiries,
scheduling appointments, and maintaining a welcoming reception area. Strong communication, organizational skills, and
a positive attitude are essential.
Responsibilities
Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person and office
Answer, screen and forward incoming phone calls
Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms
and brochures)
Provide basic and accurate information in-person and via phone/email
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk (monitor
logbook, issue visitor badges)
Proficiency in office software and the ability to multitask in a fast-paced environment are also required
Order front office supplies and keep inventory of stock
Update calendars and schedule meetings
Arrange travel and accommodations, and prepare vouchers
Keep updated records of office expenses and costs
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Perform additional duties as assigned.
Qualifications
High school diploma; additional certification in Office Management is a plus
2 to 5 years of exsperence prefered
Proven work experience as a Receptionist, Front Office Representative or similar role
Proficiency in Microsoft Office Suite and collaboration platforms such as Microsoft Teams and SharePoint.
Strong relationship-building, problem-solving, and organizational skills.
Exceptional written, verbal, and presentation communication skills.
Travel Requirements
● This position does not require regular travel as part of its primary responsibilities. However, occasional
travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or
company events. Travel, when necessary, will be communicated in advance and aligned with business
needs.
Physical Demands & Work Environment
This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
