Job Summary

Under limited supervision, the Administrative Assistant provides general clerical and customer service support by implementing and following administrative systems, procedures, and policies, monitoring administrative projects and assisting in the production of reports.

Major/Essential Functions

  • Provide timely support to laboratory technical and administrative staff by effectively addressing clerical needs
  • Greet and interface with customers, both via phone and in person, ensuring they have a positive experience by addressing their needs and concerns in a timely, positive manner
  • Maintain workflows by becoming familiar with existing methods, common practices, and reporting procedures
  • Revise systems and procedures by analyzing operating practices, recordkeeping systems, forms control, and office layout; implement changes
  • Provide information by answering questions or inquiries from internal and external customers
  • Maintain necessary supplies inventory by checking stock to determine inventory levels; anticipate needed supplies; place and expedite supply orders; verify receipt; and maintain an orderly storage system
  • Fill out and complete documents such as chain of custody forms
  • Maintain an effective filing/storage system for quick retrieval of documents
  • Execute basic office clerical duties such as copying, filing, faxing, forms/document management, answering phones, directing inquiries to appropriate parties, and distributing mail
  • Assist with coordination and production of reports
  • Assist with various HR functions
  • Contribute to team effort by accomplishing related results as needed

Required Knowledge, Skills, and Abilities

  • General knowledge of office systems
  • Ability to navigate and work within various computer software programs (e.g., Microsoft Word and Excel)
  • Ability to independently prioritize workload and complete tasks within timelines
  • Excellent customer service and communication skills
  • Strong organizational skills and ability to maintain neat and orderly systems and workspace
  • Positive and enthusiastic demeanor when interfacing with clients and throughout duties

Education & Experience

  • High school degree or equivalent is required
  • Experience working with applications within the Microsoft Office Suite is required
  • Prior customer service experience is preferred
  • Prior office administrative experience is preferred

Working Conditions

  • General office environment with a usually moderate noise level
  • Travel may be required less than 20%
