Opportunity

We have an Administrative Assistant opportunity for one of our portfolios. The position pays $22.00/hr and runs Monday through Friday, 8:00 AM – 4:30 PM. As a core member of the team, you will be responsible for coordinating supportive services for the Facility Manager and staff. You will interact with professionals throughout the organization, providing opportunities for career enrichment. You will report to the Facility Manager of the portfolio.

Responsibilities

  • Support team members and clients with account correspondence, reporting and budgeting.
  • Financial – Ensure invoices are received in a timely manner from vendors and coded for submission to the internal Accounting department for payment. Track invoices and expenses to ensure budget compliance.
  • Maintain inventory of office supplies and company forms for project team use.
  • Manage vendor files.
  • Ensure adequate supplies of uniforms for new hires.
  • Assist in the completion of weekly and/or monthly reports on maintenance, scheduling, work orders and other on-site activities.

Job Abilities and Skills

  • A minimum of 3 years’ experience in an administrative support role.
  • Excellent communication and customer service skills, including strong writing, speaking and listening.
  • Excellent computer skills and strong knowledge of office software (Word, Excel, PowerPoint, Outlook, etc.).
  • Solid attention to detail and data-entry skills.
  • Ability to operate office equipment (copy machines, fax machines, PCs, scanners).
  • Confident, positive attitude and excellent organizational skills.
  • Ability to multi-task in a fast-paced environment.
  • Willingness to support team and company policies and procedures.
  • Requirement: Successful drug screen and criminal background check.

Education, Certification and/or License

High School Diploma or GED equivalent. Higher education or formal training preferred.
