The Executive Assistant will be a key member of the administrative support team and will support the Chief Program Officer. Experience supporting a C-Suite executive, and the Board of Directors as necessary, is strongly preferred. What You Will Contribute
Possess exceptional professionalism, discretion and judgment, serving as a trusted liaison for the Avidity executives. Manage, prioritize and direct incoming business matters in a timely and efficient manner. Coordinate daily schedules, meeting coordination, agendas, and presentations. Provide support in meeting activities such as organizing, planning meetings (functional, project, and team meetings) and providing meeting minutes. Independently manage complex calendar and travel schedules (domestic and international). Collaborate with other Executive Assistants and their executives in supporting the Board of Directors and Board Committees (e.g., Human Capital Management Committee and Nominations and Corporate Governance Committee). Coordinate team schedules, travel arrangements, meeting logistics, onsite lunches, and group events as required. Prepare and produce routine and ad-hoc reports, using independent judgment and analysis; ensure distribution to required individuals. Facilitate governance, group, and departmental meetings (attendance, agenda, materials, minutes) in a biotech environment. Create documents and presentations and manage projects as assigned. On an ad hoc basis, provide lunch coverage and back-up support to the Front Office Coordinator. Work collaboratively with other Executive and Administrative Assistants to drive efficiency and share best practices. What We Seek
More than 10 years' experience as an Executive Administrator supporting C-Suite executives at the highest organizational level—preferably Chief Operating Officer or similar. Proven track record handling highly sensitive and confidential matters. Bachelor’s degree in business (or equivalent) preferred. Experience working with senior-level managers, internal and external stakeholders, and the Board of Directors, with professionalism and confidentiality. Outstanding communication, organizational, and interpersonal skills; strong customer service. Ability to work on-site at our Headquarters in Torrey Pines 5 days per week. Discretion, trustworthiness, and strong judgment; ability to multi-task and meet deadlines. Attention to detail, problem-solving skills, and time-management abilities. Ability to prioritize tasks, adapt quickly, and work independently with a sense of urgency. Maintain positive, professional relationships at all levels. Proficiency with Smartsheet, Microsoft Outlook, Zoom, Word, Excel, PowerPoint, and MS Project preferred. Outstanding references. What We Will Provide to You
Base salary range: $128,250 - $141,750. Final compensation will be commensurate with experience, skillset, internal equity, and market factors. Competitive compensation and benefits, including annual and spot bonuses, stock options, RSUs, and a 401(k) with employer match.
