e-Billing Coordinator

to join our Accounting Department. This role supports billing operations by reviewing invoices, submitting e-bills, maintaining billing records, and assisting with client set-ups. The ideal candidate will have strong e-billing experience, familiarity with legal billing platforms, and excellent organizational skills. Essential job functions

Set up new clients and matters in the billing system. Maintain and manage eBilling Hub amendment processes and resolve invoice rejections; submit manual invoices when auto submission is unavailable. Submit budgets, accruals, and client statements for e-billing clients. Assist with work-in-process tasks, including transferring time on files, fee and expense write-ups/downs/offs, editing billing entries, and verifying client and address changes. Review and distribute client invoices and proformas in a timely manner. Track and maintain the billing status log and invoice mail-out dates. Coordinate invoice distribution to attorneys, secretaries, and the Accounts Receivable Clerk. Handle reprints, voids, and invoice corrections as needed. Assist with accounts receivable support and work-in-process reporting. Provide general support to the Accounting Department during periods of high volume (e.g., month-end, quarter-end, year-end). Qualifications

High school diploma required. Minimum of two years of law firm billing experience required. Proficiency in Microsoft Office applications, especially Outlook and Excel. Experience with Elite 3E accounting software and 3E eBillingHub strongly preferred. E-billing experience required; familiarity with multiple platforms preferred (e.g., Serengeti, Corridor, Legal Exchange, TyMetrix, Collaborati, Lawtrac, CounselLink, etc.). Strong attention to detail and problem-solving abilities. Ability to interpret financial documents, invoices, and billing guidelines. Comfortable working with percentages, ratios, and other billing-related calculations. Strong written, verbal, and interpersonal communication skills. Ability to work with all levels of personnel, including Partners, Associates, Managers, and Professional Support Staff. Ability to work a full-time schedule, with additional hours as needed, particularly during peak billing cycles. Eligible for a hybrid work schedule after 90 days (3 days in-office, 2 days remote).
