At Calix, we deliver best-in-class benefits to our employees. You will support the Benefits Team in administering and improving benefits programs for our US, Canada, and International employees. Collaborating with internal teams and external partners, you will streamline processes, ensure compliance with regulations, and enhance the employee experience.
This position is a fully remote, 6-month contractor position that reports to our Director, Benefits.
Responsibilities
Benefits Onboarding: Facilitate and deliver U.S. and Canada weekly new hire benefits orientations.
Employee Support: Monitor Benefits Inbox and serve as a liaison to employees by providing guidance and support with answering questions, resolving issues, interpreting policy provisions and handling complex employee cases.
Open Enrollment: Support U.S. Open Enrollment, scheduling learning sessions, and developing presentations and communications.
Workday Enrollment: Monitor the Workday Benefits module to review and approve mid-year enrollment changes, Evidence of Insurability approvals, track late enrollees, and verify documentation.
Systems Testing: Perform testing and routine audits of our internal and third-party systems for accuracy.
Audit and Reconciliation: Track and reconcile monthly invoices, initiate payment of invoices for approval through Accounts Payable, ensuring timely payment of premiums and tracking payments.
Payroll Processing: Process U.S. and Canada semi-monthly payroll changes of benefit deductions, including retroactive adjustments and monthly auditing.
Leave Coordination: Coordinate all employee requests for Leaves of Absence with Calix’s third-party Leave Administrator. Communicate with managers and update leave and time tracking systems.
Process Documentation: Create and maintain process documentation for Handbooks, policies and procedures, FAQs.
Global Support: Support global projects and initiatives as assigned, such as annual plan renewals, developing plan metrics, creation of new policy documents, review of benefits contracts and summaries, wellness initiatives, summarizing plan changes, evaluating costs, and other projects as assigned.
Intranet and Communications: Create and update internal employee resources including employee intranet (SharePoint), external benefits portals, PowerPoint presentations, internal communications, announcements and chatter posts.
Special Projects: Support the rollout of new program implementations and initiatives to include policy and document review, developing internal communications, while partnering with internal and external stakeholders.
Process Automation: Continuously evaluate our programs, processes and procedures and identify opportunities for improvement through AI and automation tools.
Qualifications
Minimum 5+ years of experience working as a Benefits Analyst or related HR field
Hands-on experience with day-to-day benefits administration
Ability to manage multiple priorities in a fast-paced environment.
Demonstrated self-starter and self-manager, with persistent follow-through on assignments.
Strict confidentiality of employee and company data required.
Exceptional verbal/written skills and attention to detail.
Workday or other HR information system experience is a plus.
Preferred Education, Certifications, And Professional Licenses
BA or BS degree is required in Business Administration, Human Resources or related field.
GBA, CEBS certification is a plus.
AI training certification is a plus.
