Position Summary The Assistant to the Director of Institutional Effectiveness supports the mission of Wallace Community College by providing high-level administrative, clerical, and project coordination services to ensure the effective operation of the Institutional Effectiveness department. This position plays a key role in maintaining compliance, supporting assessment and accreditation activities, and facilitating continuous improvement efforts across the College.

Appropriate placement on Salary Schedule E3 04 (range: $39,759 - $57,251).

This position will be based initially at Wallace in Dothan, Alabama.

ESSENTIAL FUNCTIONS:

ESSENTIAL FUNCTION: Office & Administrative Support. Employee performs clerical duties to assist the Institutional Effectiveness office in its efficient operation.

Manages the Director's calendar, schedules meetings, and coordinates event logistics. Performs a variety of clerical duties, including filing, scanning, data entry, document preparation, and records management. Opens, sorts, and routes incoming correspondence; prepares outgoing mail and official communications. Prepares and distributes memos, letters, emails, and other professional correspondence. Attends meetings to take and transcribe minutes. Coordinates travel arrangements, including processing justifications, registrations, and reimbursements. Maintains organized filing systems, including records related to accrediting agency reporting. Prepares requisitions and purchase orders; tracks supply inventory. Arranges meeting spaces, notifies participants, and communicates schedule changes as needed. Maintains strict confidentiality in all matters. ESSENTIAL FUNCTION: Institutional Effectiveness & Data Support.

The employee performs database management duties

to ensure the effective operation of the Institutional Effectiveness department.

Maintains the institutional calendar and departmental web pages, ensuring content is current and accurate. Manages and responds to data requests, prepares periodic reports, and ensures timely delivery. Supports Standing Committee processes, including annual paperwork and documentation. ESSENTIAL FUNCTION: Accreditation & Assessment (SACSCOC).

Supports the planning and assessment process

related to the evaluation of College functions and units.

Assists with the planning and assessment process. Builds and manages internal surveys using departmental software. Coordinates and maintains the College's annual planning calendar. Develops, distributes, and collects College-wide surveys and evaluations; compiles and disseminates results to appropriate personnel for use in continuous improvement. Provides support for strategic, comprehensive, and ongoing academic assessment activities measuring student learning and achievement. Provides support to the Dean of Instructional Affairs, GEA Committee, and administrative units by providing information and assistance in developing and monitoring annual assessment plans. Supports faculty, staff, and administrators by preparing materials and assisting with training sessions related to assessment and accreditation processes. Collects and organizes data required for program-specific accreditation. Provides logistical and clerical support for focus groups conducted with students, faculty, and staff. Tracks reporting deadlines and provides reminders to ensure timely completion of accreditation-related documentation. ESSENTIAL FUNCTION: College Expectations. Possess an associate's degree from an accredited institution

is required . Proficient in Microsoft Office (Word, Excel, PowerPoint)

is required . Ability to work non-standard and extended hours

is required . Experience working in a college and/or research environment is preferred. Experience with Banner/Argos is preferred. Bachelor's degree is preferred. ADVISORY COMMITTEE:

The President will appoint an Advisory and Interview Committee to include representatives of the College faculty and staff. This committee will employ appropriate procedures, including the review of application packets, interview, and demonstration of competency, to determine which applicants are to be recommended to the President for further consideration. Tuition Assistance This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education.
