Description of Job: The Division of Disease Control and Public Health Response (DCPHR) is the department's lead surveillance, planning and response arm for public events including communicable disease outbreaks and epidemics, pandemics, bioterrorism, and other public health and mass casualty events and disasters. The division includes the Office of Emergency Preparedness and Response; State Public Health Laboratory; Health Equity Branch, Communicable Disease Branch; Immunization Branch; Public Health Informatics, Reporting, and Refugee Branch; and Operations Branch. The Work Unit: The Disease Control and Public Health Response (DCPHR) Division leads the planning, prevention, detection, testing, data management, analysis, investigation, mitigation, preparedness, and response to communicable diseases. DCPHR's Health Equity Branch exists to expand and promote equitable access to opportunities and resources that impact an individual's or community's health and right to be free from communicable diseases and their health effects. What You Will Be Doing: This position is responsible for contacting community partners and stakeholders, scheduling program meetings, tracking and recording meeting and events notes and is a primary contact to receive, distribute, and reply to general program inquiries via phone or email; aid with the tracking of training for staff; analyze program issues and issue reports of potential solutions; and aid in the overall function of the office environment of the program. This position is responsible for creating and maintaining communication materials, spreadsheets, documentation, and databases for information management and sharing with internal and external partners, stakeholders, and Health Equity leadership. This position is responsible for program materials management and ordering things like business cards and badges. Manages the Branch emergency contact list, and tracks flextime and flexplace agreements for the Branch. This position will aid with contract monitoring work, grant writing, and aid with stakeholder engagement through various aspects of rulemaking processes, committee meetings, and working groups. Position analyzes and interprets existing business processes and guides staff on proper procedures, develops new processes where none exist or could be improved and manages special projects in coordination with units within the Health Equity Branch. Health Equity Branch Program Support: The position provides program support for the Community Action and Engagement Program. Performs administrative duties to assist the program leadership to include: meeting and event coordination, interview scheduling, meeting recording and minutes, writing and editing documents, preparing communications, such as memos, emails and reports, writing and editing documents including letters and instructional documents. Office Management: Provides skilled support to the Health Equity Branch. Position is the point of contact for the unit for phone calls and emails and provides information or triage and transfer as appropriate. Provides technical assistance and support for staff. Provides technical assistance and support for Branch staff including maintaining the staff emergency contact list and the Branch flextime/flexplace agreements and schedules. Schedules meetings, assists with travel arrangements including submission of proper approval documents, and makes logistical arrangements for advisory or community stakeholder meetings.
