Overview of Position

The Receptionist assists the Office Coordinator with the overall responsibilities of managing the front desk. The role includes both customer service and administrative functions. This role acts as the main greeter both on the phone and in-person. This position must be onsite daily Monday-Friday including occasional evenings to weekends on an as-need basis.

Primary Duties and Responsibilities

  • Front Desk Duties:
    • Greeting staff, clients and visitors, and directing lobby traffic
    • Answering the main phone line and directing calls to the appropriate staff/program
      • Handling difficult callers with grace and understanding while also maintaining phone response procedures
      • Direct voicemails to the appropriate program/staff member
    • Daily mail processing
    • Monitor security cameras.
  • Administrative Tasks
    • Order office supplies as requested
    • Review and Code: invoices, credit card statements with corresponding receipts
    • Organize staff events and People Ops calendars
  • Assist Office Coordinator in:
    • Scheduling vendors for building maintenance\
    • Monitoring and responding to agency group email inboxes
    • Conference room booking and printing conference room schedules
  • Provide occasional evening and weekend front desk coverage as available.
  • Provide emergency evening and weekend coverage as needed

Knowledge, Experience, and Skills

  • Education/Experience Requirements:
    • High School diploma or equivalent with 1-2 years of work experience
    • General computer skills and working knowledge of Microsoft Office
    • Must have proficiency in, or the ability to learn to operate a multi-line phone/switchboard and accompanying telephone software
    • Must have strong organizational and interpersonal skills, ability to juggle between front desk duties and other office tasks.
  • Skills and Competencies:
    • Able to work independently and flexibly and to react quickly to solve problems.
    • Flexibility with scheduled times to provide front desk coverage and additional time to cover vacations/breaks as needed
