Workforce Training Department Southeast New Mexico College (SENMC) Job Description Required : High School diploma or GED certificate with three (3) years of professional experience directly related to the standard duties as outlined. Purpose and Scope: Under general supervision, the Administrative Assistant provides specialized administrative support for the Workforce Training department. This position acts as the first point of contact for industry partners, trainees, and internal staff, delivering professional reception and assistance. Responsibilities include coordinating training inquiries, maintaining accurate records and compliance documents, assisting with class logistics, managing supplies, and training materials, and supporting overall department operations. This position plays a key role in ensuring efficiency, compliance, and a positive public image for Workforce Training programs in MSHA, OSHA, safety, mining, Radiological Control, Oil & Gas and any other Workforce initiatives. Duties and Responsibilities: Serve as the initial point of contact for telephone and in-person inquiries, providing accurate and courteous information regarding Workforce Training programs, including MSHA, OSHA, safety, mining, Radiological Control, Oil & Gas and any other Workforce Greet and assist visitors, directing them appropriately. Receive and respond to routine requests from internal and external partners, helping to resolve problems or referring them as needed. Deliver oral and written messages to Workforce Training staff and instructors in a timely manner. Sort, distribute, and manage incoming mail and departmental correspondence. Maintain organized files, records, and logs using alphabetical, numerical, or other appropriate methods. Operate standard office equipment, including copiers, personal computers, calculators, and phones. Draft, type, and format routine letters, reports, labels, and other documents from rough drafts or templates. Enter data into departmental forms and systems, ensuring accuracy and completeness. Monitor and purchase office supplies, track inventory and reorder materials, as necessary. Pull documents or provide copies upon request. Deliver materials and correspondence to other offices or departments as required. Provide administrative support to other areas of the department during peak times or staff absences. Assist trainees with enrollment for Workforce training classes. Track enrollment, classes, certifications, and other data and schedules as required. Perform other job-related duties as assigned to support Workforce Training operations.
Knowledge, Skills, and Abilities: Strong organizational skills with the ability to manage multiple priorities effectively. Excellent oral and written communication skills in English and Spanish. Ability to analyze basic administrative issues and recommend practical solutions. Ability to exercise discretion and maintain confidentiality with sensitive information. Working knowledge of standard clerical and administrative procedures. Proficient in office telephone etiquette and professional communication. Competency in reading, spelling, and basic arithmetic. Accurate and efficient in filing, recordkeeping, and data entry. Skilled in using a variety of office equipment and software (e.g., Microsoft Office Suite, copiers, telephones). Ability to work independently with minimal supervision and as part of a team. Ability to deliver presentations or provide information regarding Workforce programs when needed. Strong experience with Microsoft Excel, Microsoft Word, Microsoft Outlook, and Microsoft teams. Strong experience navigating internal and 3rd party websites to coordinate, classes, payments, and schedules.
