Administrative Assistant
Summary
Provide program support to the Acadiana office
Position Type
Non-Exempt/Full Time
Essential Functions
- Answering the telephone with a proper salutation. Take accurate messages to include name, date, telephone number, time taken, and brief message if applicable, and email messages timely to the appropriate employee.
- Greeting visitors and directing them to the appropriate program.
- Ensuring smooth and efficient operations from the office reception area to include general clerical duties such as typing, filing, faxing, copying, emailing, etc.
- Retrieve and route incoming and outgoing mail.
- Maintain office machines (such as office copiers and stamp machines.)
- Review and maintain inventory of supplies, marketing material, and donations received for the office monthly.
- Logging in-kind when received.
- Call to schedule locations for training dates/times
- Call to confirm/cancel training locations.
- Provide support to VOASCLA Special Initiatives.
- Maintain and update employee files.
- Consult with families requesting child care services
- Processing/ordering materials online
- Entering accounts payable and receivable
- Any additional tasks designated by a Regional Director

Required Education and Experience
High School Diploma/ G.E.D.
Physical Demands
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance, stoop, kneel, crouch or crawl; talk or hear; taste or smell. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job included close vision, distance vision, color vision, depth perception, and the ability to adjust focus. While performing the duties of this job, the employee is not exposed to weather conditions. The noise level in the work environment is usually moderate.
