As an Office Administrator at Ellie Mental Health, you'll share our vision for improving and expanding access to quality mental health care and thrive in an environment driven by our core values of authenticity, humor, compassion, creativity, acceptance, and determination.

The Office Administrator is responsible for overseeing daily operations of our clinics. This position supports our clinical teams by managing coordination of referrals, managing our client intake process, monitoring client waitlists, and providing follow-up to current and potential clients. Our Office Administrator is also responsible for overseeing other support staff and acts as a liaison between clinical and non-clinical management teams.

What You'll Do:

Clinic Operations Management

Oversee day-to-day operations of the clinic, ensuring an efficient, welcoming, and professional environment for staff and clients. Monitor and maintain the clinic's physical infrastructure, including cleanliness, safety, and maintenance needs. Coordinate repairs, renovations, and facility improvements in compliance with health and safety regulations. Client Intake & Scheduling

Manage the client intake process Ensure all clients are appropriately onboarded and prepared for their services. Referral Coordination

Contact potential clients from referral sources, coordinating smooth transitions into services. Match clients with appropriate clinicians based on skills, availability, and caseload needs. Client Support

Maintain and monitor the client waitlist to facilitate timely service access. Provide timely follow-up to potential and current clients regarding clinic information, rescheduling, or clinician reassignment in coordination with the Clinical Director. Administrative & Technical Support

Troubleshoot office equipment issues and coordinate resolution with appropriate vendors or IT support. What You'll Need:

1 year of office experience preferred Exposure to medical billing and medical scheduling preferred Strong leadership and problem-solving skill sets Excellent verbal and written communication skills; Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail Excellent time management skills with a proven ability to meet deadlines Ability to function well in a high-paced and changing environment Proficient with Microsoft 365 applications Adept at learning and navigating Electronic Health Record system Perks & Benefits:

Compensation: $55,000.00 - $62,000.00 per year
