BROAD STATEMENT OF RESPONSIBILITIES:
Oversees all aspects of the State funded Great Start Readiness Program intake program for all of Kent County.
GENERAL DUTIES AND RESPONSIBILITIES:
Collaborates and builds positive relationships with all GSRP sites including, Head Start, Grand Rapids Public Schools, community-based organizations and districts to ensure all grant requirements are met while finding the best possible placement for all families. Develop, maintain and continually improve the GSRP database, which houses all student, teacher and licensing information required by the program. Lead training of all constituents in the GSRP intake database and process. Gathers and compiles data needed for preparing internal/external reports; prepares such local, state and federal reports and grants as directed. Coordinates translations services so that all families can participate in the GSRP preschool. Serves as the McKinney Vento Support for the Great Start Readiness Program Completes all MICRS reports with the Kent County Health Department Provides general coordination of office communications while providing positive public relations to callers, customers and vendors. Performs varied secretarial duties requiring knowledge of departmental and organizational policies and procedures dealing with area of responsibility. Establishes and maintains confidential files and organizational and departmental records in manual and computerized modes. Participates in staff development programs to improve personal job skills and performance. Performs other secretarial and clerical tasks as assigned. SPECIFIC DUTIES AND RESPONSIBILITIES:
Assists supervisor in the GSRP intake process including; assisting families with entire intake process from entering an application, collecting required documentation and finding the best possible available placement for each child. Performs advanced computer operations that originate and/or assist consultant with producing, editing and proofing of professional presentations, proposals, grant applications, budgets, correspondence, reports, notices, public relations materials and newsletters. Coordinates intake/department communications by: initiating and responding to telephone calls, voice mail and emails including routine and non-routine inquiries, screening and routing incoming mail, publications and other materials, and analyzing and resolving problems and referring questions with policy to supervisor(s). Maintains and coordinates appointment schedules, calendars of activities, workshops, conferences and other functions related to department. Assists with development of program resources, including Palm-based data collection tool and program database. Provides technical assistance to program staff on proper use of tools. Prepares and sends written communication to all new enrollees on a daily basis, including tracking new families and data entry for new enrollees in a complex data-tracking system. Maintain the workflow to insure that project deadlines are met. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
Associates degree, plus minimum three (3) years experience in secretarial or technical field, preferably in the educational or business-related environment; requires proven expertise in secretarial and administrative assistant functions. High level of computer and basic desktop publishing or graphic design skills required for the preparation of proposals, presentations, reports, budgets, illustrations and record keeping systems with advanced proficiency with a PC in a variety of software programs including Microsoft Word, Microsoft Office, Power Point, ClarisWorks, etc. and proficiency and experience with the Internet required. Previous database, PowerSchool, MI Teaching strategies is preferred. Requires high level of communication and interpersonal skills to interact effectively with administrators, peers, constituent district staff and the general public. Ability to meet deadlines, to concentrate and pay close attention to details, to organize, prioritize and work independently and cooperatively as well as schedule and produce work in a timely manner. Must be able to maintain flexible scheduling for the needs of the community
Salary: Grade 4, Step 1-3 ($23.39 - $25.71/ hourly)
