The Administrative Assistant provides administrative support to the CEO or management team to ensure efficient operation of the facility by conducting research, preparing reports, handling information requests and performing clerical functions such as filing, preparing correspondence, answering phone calls, receiving visitors, arranging conference calls, ordering supplies and other program materials, and scheduling meetings.
Responsibilities
- Supports managers and employees through a variety of tasks related to organization and communication.
- Attends meetings and takes accurate minutes.
- Creates spreadsheets, manages databases and prepares presentations, reports and documents as needed.
- Answers telephones and takes messages or transfers calls.
- Arranges travel plans, itineraries, and agendas. Completes expense reports.
- Composes and prepares correspondence.
- Coordinates collection of data required for various reports.
- Sets up and maintains files and meeting minutes.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Manages an active calendar of appointments, schedules appointments, and arranges staff meetings.
- Welcomes visitors and provides facility tours as needed.
- May supervise the work of others. May cover the reception desk when required.
- May manage and coordinate administrative programs and office activities.
- May be responsible for accurate and timely physician and other provider credentialing. Maintains contract files.
Qualifications
- High school diploma or equivalent required. Associates degree preferred.
- Three or more years of experience supporting Executives, preferably in a medical facility environment.
- Ability to multitask, prioritize deadlines, work well in both a team environment and independently and have good organizational skills.
- Excellent communications and interpersonal skills required.
- Skills with Microsoft Office products, telephone systems, office equipment.
- Ability to use good judgment and to maintain confidentiality of information.
