Overview
Administrative Assistant to support our Tax team in downtown Indianapolis at Blue & Co., LLC.
Responsibilities
- Typing, formatting, editing, and proofing correspondence, engagement letters, proposals, presentations, and various other reports and mailings.
- Copying, punching, binding, and mailing documents for internal and external use.
- Distribution of communications to clients; coordinating and arranging meetings, preparing agendas, reserving and preparing facilities.
- Organizing, tracking, and maintaining various spreadsheets and files from a variety of sources.
- Scanning and electronically filing documents.
- Backing up receptionist as needed which includes answering phones; coordinating incoming/outgoing mail; operating AV systems; and professionally interacting with clients, vendors, and other office guests.
- Cross training on a variety of administrative duties to backup members of the administrative team.
- Tax return processing is a plus.
- CCH Software, HubSync, and/or Yearli experience is a plus.
Requirements
- Associates degree or equivalent work experience, preferably 1-3 years in an Administrative Assistant/Office Administration role within a professional environment.
- Proven experience using advanced functions within MS Office (Word, Excel, PowerPoint, and Outlook).
- Highly detail oriented; ability to communicate effectively with clients and internal teams.
- Strong organizational skills; ability to manage multiple priorities and changing deadlines.
- Self-starter, deadline driven, technologically savvy with a strong customer service focus.
- Physical demands include the ability to lift up to 20 pounds, sit and stand for long periods, and use a laptop computer.
