Overview
Administrative Assistant role at BMO U.S. is based onsite at 9950 S Kedzie Ave. Evergreen Park, IL. The position supports administrative and clerical tasks, financial and human resources administration, and provides professional support to one or more Managers and their direct reports. The role ensures administrative and operational processes and control standards are followed while seeking improvement opportunities to contribute to the department's effective and efficient operation.
Responsibilities
- Supports the execution of strategic initiatives; includes tracking metrics and milestones.
- Builds effective relationships with internal/external stakeholders.
- Analyzes data and information to provide insights and recommendations.
- Leads the planning, coordinating and implementing department events.
- Provides specialized and professional support to an executive and their senior managers within a large and diverse department or business group.
- Coordinates and monitors budgets and reporting on results vs. budget.
- Provides coaching and mentoring to more junior administrative assistants to support development of capability to carry out current job accountabilities.
- Manages and monitors calendars, dispatches meeting invitations, books meeting rooms, and arranges resources for meetings; supports department event coordination.
- Develops and maintains a filing system; ensures business and operational reports, forms, and other documentation are readily available in paper or electronic form.
- Supports development of tailored messaging, including writing, editing and distributing communications (e.g., correspondence, presentations, policies & procedures).
- Dispatches outgoing communications; answers central phone line, responding to and resolving/escalating inquiries.
- Processes invoices for payment in accordance with documented processes and guidelines and vendor agreements.
- Prepares and logs departmental expense claims and reports; tracks expenses to stay within budget.
- Makes travel arrangements as needed.
- Liaises with internal units and external vendors; coordinates premises/building-related matters while minimizing business interruption.
- Maintains supplies inventory and orders as needed.
- Ensures vacation/absence scheduling is documented and managed consistently while addressing scheduling conflicts.
- Coordinates training requirements for staff (research, booking, cancellations, confirmations).
- Collaborates with internal and external stakeholders to deliver on business objectives.
- Organizes work information for accuracy and completeness.
- Completes complex and diverse tasks within given rules/limits and may handle escalations.
- Analyzes issues and determines next steps.
- Broader work or accountabilities may be assigned as needed.
Qualifications
- Typically 3-5 years of experience in an administrative/professional support role; post-secondary degree in a related field desirable.
- Specialized knowledge.
- Verbal and written communication skills; good.
- Strong organizational skills.
- Collaboration and team skills; good.
- Analytical and problem-solving skills; good.
Salary and Benefits
Salary range: $41,714.00 - $69,000.00. Pay type: Salaried.
The pay range and type represent BMO Financial Group’s typical compensation for this role. Salaries vary based on location, skills, experience, education, and qualifications.
