Role Summary
The Receptionist at Quintessa Marketing serves as the first point of contact for clients, visitors, and callers, ensuring a welcoming atmosphere and smooth day-to-day front desk operations. This role requires a personable, detail-oriented professional with exceptional communication and multitasking skills who embodies the company’s values.
Key Responsibilities
- Greet and welcome visitors in a professional, friendly manner.
- Respond to basic inquiries and provide accurate information.
- Maintain a clean, organized, and presentable reception area.
- Schedule and confirm appointments and meetings as needed.
- Assist with executive meeting arrangements, including ordering or picking up food and beverages.
- Perform daily accounting bank deposits.
- Manage building badge requests and maintain security sign-in logs.
- Submit building maintenance tickets as needed.
- Coordinate with other departments to ensure seamless office operations.
- Order and maintain inventory of office supplies and vending machine items, monitoring usage to minimize overages.
- Serve as liaison with vendors, including coffee service, Culligan water, and document shredding providers.
- Maintain the 3rd-floor conference room calendar and bookings.
- Conduct initial HR candidate prescreen calls and schedule interviews.
- Assist in auditing call recordings and assemble new hire welcome bags.
- Set up new hire desks, including ordering and organizing supplies.
- Coordinate and circulate birthday and anniversary cards.
- Ensure shared breakroom and kitchen areas are clean, stocked, and welcoming; wipe down counters and surfaces; empty dishwashers on the 3rd and 4th floors; restock supplies; conduct weekly refrigerator clean-outs; monitor cleanliness and address minor issues; escalate larger issues as needed.
- Perform additional job-related tasks as assigned to meet the needs of the organization.
Required Skills & Experience
- Education: High school diploma or equivalent required.
- Experience: Prior receptionist or front desk experience preferred.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally at all levels.
- Organization: Strong organizational and time management skills; able to balance multiple priorities effectively.
- Customer Service: Warm, approachable, and service-oriented demeanor.
- Technical Aptitude: Proficiency with Microsoft Office Suite, Google Workspace, phone systems, and CRM software preferred.
- Professionalism: Consistently maintains a professional appearance, demeanor, and discretion with confidential information.
