The Executive Office supports and guides the research programs, external affairs, and business operations of the Institution. It consists of the President’s office and the President's support team and aims to communicate regularly and transparently with Brookings staff about institutional updates. Position Location

This position is hybrid, combining regular in-person presence at the Washington, DC office with the option of two days of remote work each week. Ready to contribute to Brookings success? The Executive Assistant, Executive Office will partner with the Senior Vice President of Research, the Vice President and Chief of Staff, and the Director of the Artificial Intelligence and Emerging Technologies to provide administrative and business process support for their offices. The executive assistant coordinates with internal and external stakeholders to process, distribute, and prioritize incoming requests for the principals’ time, manages calendars and meeting materials, arranges travel and processes expenses, coordinates special projects, and proactively solves logistical and/or process challenges for the principals. Daily Executive Administrative Support (60%) Act as a gateway to principals, working with internal and external stakeholders to plan and arrange the principals’ activities. Manage and maintain the principals’ calendars; schedule appointments, meetings, and events, and coordinate related logistics. Keep the principals informed of upcoming commitments and responsibilities; ensure timely materials for meetings and activities and keep them on track during the day. Build and nurture relationships across Brookings and with external audiences to facilitate smooth communication; maintain discretion and confidentiality. Attend and provide administrative support for meetings, including agenda creation, circulating materials in advance, and taking notes; track follow-up items. Handle expense records and submit reports. Oversee meeting logistics such as room booking, catering, materials, and A/V. Notify principals of issues, suggest solutions, and draft initial responses when appropriate. Priority Management & Coordination (40%) Prioritize conflicting needs among principals; follow through on projects and deadlines. Manage timely follow-up on internal and external requests for information or action. Coordinate materials, agendas, timelines, and ongoing communication for principals’ committee leadership. Create professional Word, PowerPoint, and Excel presentations; update templates and ensure materials are prepared and distributed on time. Draft correspondence and perform tasks that enable principals to lead effectively. Undertake other duties and special projects as directed. Qualifications include the following expectations and requirements for the role. Education/Experience Requirements Bachelor’s degree or equivalent; minimum five years of related administrative experience supporting executive-level staff; strong organizational skills, ability to multitask with attention to detail. Knowledge/Skill Requirements High level of judgment and confidentiality; proactive planning in a dynamic environment; strong written and oral communication; solid project management; ability to work independently and with teams; advanced Office 365 skills (Outlook required); experience with enterprise tools (SharePoint, CRM, ERP) preferred.
