Purpose:

This position is responsible for overseeing all aspects of community and business licensing across our organization, ensuring full compliance with state and local regulations while maintaining positive relationships with regulatory agencies.

Essential Job Functions:

Licensing Management & Compliance Oversee all aspects of community and business licensing for communities Ensure that all licensing standards are kept current and in full compliance with state and local regulations Monitor license expiration dates and coordinate timely renewal processes Track and maintain compliance with ongoing licensing requirements and conditions Develop and implement licensing compliance protocols and procedures Regulatory Relationships & Communication

Maintain positive working relationships with state representatives and regulatory agencies Serve as primary liaison with state licensing departments and regulatory bodies License Applications & Documentation

Prepare and submit applications for new business licenses and community permits Coordinate licensing requirements for new community openings and expansions Compile and organize required documentation for license applications Ensure all application materials meet regulatory standards and deadlines Follow up on pending applications and address any regulatory concerns Database Management & Record Keeping

Maintain accurate and up-to-date information in licensing database for all communities Track license status, renewal dates, and compliance requirements across all facilities Generate regular reports on licensing status and compliance metrics Ensure proper documentation and filing of all licensing materials Maintain confidential and secure licensing records Resident Agreements & Documentation

Assist in keeping resident agreements up to date and current as required by regulations Review and update agreements to reflect changing regulatory requirements Coordinate with legal team on agreement modifications and compliance issues Ensure resident documentation meets state licensing standards Track and maintain resident-related licensing documentation Regulatory Monitoring & Updates

Stay current with changes in state licensing regulations and requirements Monitor regulatory bulletins, updates, and legislative changes Additional Responsibilities

Support new community licensing and permitting processes Coordinate with legal counsel on licensing-related matters Participate in regulatory compliance committees and meetings Assist with license transfers and ownership changes Support emergency licensing situations and regulatory responses Perform other duties as assigned by the Licensing and Financial Manager Minimum Eligibility Requirements

Education & Experience

High School Diploma with relevant experience. Associate's degree preferred Minimum 2-3 years of experience in licensing, regulatory compliance, or healthcare administration Experience with assisted living or long-term care regulations strongly preferred Technical Skills & Knowledge

Proficient in state licensing standard regulations for assisted living facilities Strong computer skills, including Microsoft Office Suite, especially Excel Experience with database management and record-keeping systems Familiarity with regulatory compliance software preferred Core Competencies

Excellent attention to detail and accuracy Strong organizational and time management skills Effective written and verbal communication abilities Ability to work independently and manage multiple priorities Problem-solving and analytical thinking skills Professional demeanor for regulatory interactions Understanding of confidentiality and privacy requirements Preferred Qualifications

Previous experience with state licensing agencies Knowledge of assisted living industry regulations Experience with multi-site healthcare organizations
