Job Summary

The University of North Georgia is currently accepting applications for an Administrative Assistant III on the Gainesville campus. This position will preform administrative and clerical duties to support the UNG College of Science and Math. Knowledge of and ability to support laboratory operations of departments in UNG College of Science and Math.

In addition to background checks for all cardholders, O.C.G.A. § 50-5-83 requires a credit check on all employees issued a purchasing card. Additionally, credit checks must be run at the time of P-card renewal.

Responsibilities

Support the DH of Chemistry and Biochemistry, the ADH of Physics and Astronomy, and other departmental personnel by assisting in routine and unique administrative operational tasks involving full and part-time faculty. Schedule appointments and meetings. Handles needs/request from faculty, staff and students within the department and develops resolutions for issues as needed. Serves as the central contact point for the Departments. Maintains all fiscal, administrative, and academic records, reviews, reports and forms for accuracy and completeness. Prepares and distribute correspondence, agendas, reports, departmental minutes, and other documents as required; compiles data and create reports as needed. Organize faculty travel and assist with travel authorizations and reimbursements. Distribute mail/faxes to faculty/staff and prepare outgoing mail. Participation in project work including laboratory organization. Oversees equipment needs in offices, classrooms and laboratories and coordinates the upkeep, maintenance and organization of equipment. Coordinates rooms, prepares and distributes handouts and assists with various classroom issues. Posts informational flyers and information to digital signage regarding guest speakers, job opportunities and departmental events and activities. Reserves parking, ordering of food, and communicates with departmental guest speakers regarding logistics. Submit work orders to plant operations, IT or other university entities for work needed within the departments. Supervises and manages the office, including prioritizing, and completing work as appropriate to ensure deadlines are met. Purchases supplies and equipment for the departments and reconciles P-Card transactions. Performs budget tracking. Purchases research and teaching supplies for faculty. Maintains and tracks laboratory budgets as well as coordinates and places purchases for laboratories. Supervisor to all student workers within the departments on the Gainesville campus. Completes hiring proposals on student workers, approves time for all student workers, as well as helps student workers with any changes needed on their time card. Prepares correspondence and maintains files on prospective new part-time faculty. Arranges travel for full-time faculty and assists in completion of travel expense reimbursement requests. Contributes to campus and departmental communications. Inputs all course schedule data and assigns classrooms. Facilitate course scheduling (including assigning classrooms) Assists with textbook requisitions and classroom/laboratory supplies. Registers and assists students in scheduling classes, track changes in student numbers and update academic records for students. Assist Master faculty advisors and DH/ADH in preparing for NSO and TSO. Keeps track of departmental wait lists for high demand academic classes needed for science majors. Attends college, departmental and committee meetings, taking and posting minutes, and assists the college with other activities across the campuses. Meetings may occur in the evenings or off campus. Assists with arranging meeting logistics. Responsible for coverage of the reception area at all times, answering a wide variety of questions. Assists in the preparation of accreditation reports for the various national accrediting bodies including ACS and SACSCOC including preparing exhibits, creating documents, and maintaining required records. Knowledge, Skills & Abilities

Possess excellent interpersonal and written and oral communication skills. Must have the ability to establish and maintain effective working relationships with faculty, staff, students, and the community. Must have the ability to work under minimal supervision to meet deadlines, manage multiple tasks, and prioritize duties. Knowledge of standard business practices and budgetary controls. Strong business process skills, particularly in the area of budget management. High ethical standards and ability work with a variety of internal and external constituents, including service providers, vendors, faculty, and staff. Required Qualifications

Bachelor's degree required. One year of clerical or administrative experience Or an equivalent combination of education and experience required. Computer experience with Microsoft Office required. Preferred Qualifications

Degree in Business, Business Administration, Public Administration, Chemistry, or Physics preferred. Experience with Banner or other academic scheduling software preferred. Proposed Salary

Minimum Starting Salary: $18.34 per hour
