Job Summary: The Department of Medicine is seeking a highly organized and proactive Senior Administrative Specialist to provide comprehensive administrative support to the Division Chief of Cardiology and division faculty. This role requires a high degree of professionalism as well as the ability to manage multiple priorities in a fast-paced academic medical environment.

Primary Responsibilities: Manage and coordinate calendars, including scheduling meetings, conference calls, and appointments for the Division Chief and faculty. Organize and oversee Cardiology Grand Rounds and other divisional lectures/events. Arrange travel and accommodations for faculty and visiting lecturers. Screen and prioritize mail, email, and telephone communications; respond or redirect as appropriate. Edit and proofread a variety of documents, including reports, correspondence, and presentations. Prepare and process expense reimbursements, credentialing applications, and medical staff documentation. Maintain accurate and well-organized electronic and paper filing systems. Coordinate and maintain the division's on-call schedule. Serve as a liaison between the division and key departments within the hospital and with community partners. Support the preparation of grant applications, progress reports, and other administrative documents. Coordinate recruitment and onboarding activities for new faculty. Assist with administrative aspects of the facultys educational and clinical responsibilities. Provide cross-coverage for other divisional administrative staff as needed. Perform other duties as assigned to support the goals of the Division and Department Minimum Qualifications: Associate's degree and a minimum of 5 years of administrative experience, preferably in an academic or healthcare setting.

Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong written and verbal communication skills. Exceptional organizational and time-management skills with the ability to prioritize and multitask effectively. Ability to maintain confidentiality and exercise discretion in handling sensitive information. Excellent interpersonal skills and the ability to work both independently and collaboratively.
