Job Title: Administrative Assistant
Location: Sanctuary's admin office
Reports To: Director of Operations
Purpose
To provide high-level administrative support to ensure efficient operation of the office. The Administrative Assistant will support managers and employees through a variety of tasks related to organization and communication.
Position Summary
The Administrative Assistant is responsible for handling clerical tasks, managing schedules, coordinating meetings, maintaining filing systems, and supporting day-to-day office operations. This role requires professionalism, discretion, and strong organizational skills to contribute to a productive and welcoming work environment.
Key Responsibilities
- Answer and direct phone calls in a professional manner
- Organize and schedule appointments and meetings
- Prepare and edit correspondence, reports, and presentations
- Maintain contact lists and manage email communications
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system (electronic and paper)
- Order office supplies and research new deals and suppliers
- Book travel arrangements and process expense reports
- Act as the point of contact for internal and external clients
- Provide general support to visitors and staff
- Handle sensitive information with confidentiality
Qualifications
- High School Diploma or GED required
- Proven experience as an administrative assistant or office admin assistant
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
- Excellent time management skills and ability to multitask
- Strong written and verbal communication skills
- Attention to detail and problem-solving skills
- Professional appearance and demeanor
- Ability to work independently and as part of a team
