Description
Greater Nashua Mental Health is looking for a full-time Medical Administrative Assistant to join our Medical Services Team! The Medical Administrative Assistant manages incoming phone calls and conveys messages to appropriate medical staff. The Medical Administrative Assistant sets up medical providers' schedules using the Just in Time Scheduling system and ensures that relevant medical documents are available to medical providers to facilitate patient visits. The Medical Administrative Assistant provides administrative support to the medical and nursing staff.
Duties & Responsibilities:
- Schedules client visits, and coordinates patient access to medical services from the different programs, ensuring that 95% of patients are scheduled within 7 days of post-hospital discharge
- Manages appointment cancellations as directed by Medical Support Staff Coordinator and applies principles of the Just in Time scheduling system
- Manages incoming phone calls, and documents and conveys messages to appropriate medical or nursing staff and ensures that 90% of voicemails are reviewed and triaged daily
- Coordinates document flow, including but not limited to, responses to patients' requests for document completion and obtaining laboratory results or documents from or for providers
- Provides administrative support to medical and nursing staff, including processing incoming and interdepartmental mail, and maintaining office supplies inventory
- Performs other duties or special projects as required or as assigned by the Medical Support Staff Coordinator or Chief Medical Officer
Requirements
Qualifications:
- High School Diploma or GED equivalent required
- Proficient in electronic medical records (EMR) systems
- Knowledge of Microsoft Office products (Email, Word, EXCEL)
- Strong customer service skills and ability to de-escalate situations related to potential client dissatisfaction
- Strong collaborating skills, and an ability to work effectively both independently and as part of a team
- Excellent communication and interpersonal skills
- Excellent organizational and time management skills
- Ability to multitask and be flexible with regard to workload and assignments
- Ability to exercise good judgment
