Overview

The Macatawa Area Coordinating Council (MACC) is seeking a part-time Administrative Assistant (15–20 hours per week) to provide vital administrative support for our programs and projects. This role is central to keeping our office operations running smoothly and ensuring that the MACC continues to serve the Holland/Zeeland community effectively.

The Administrative Assistant will work directly with the Executive Director and collaborate closely with the Transportation Planner, GIS Specialist, and Financial Manager.

We are looking for someone who:

  • Brings professionalism, organization, and a welcoming attitude to every interaction.

Key Responsibilities

  • Perform general office management, including copying, scanning, and processing invoices and payments.
  • Maintain central filing systems and records in both digital and physical formats.
  • Prepare for meetings: coordinate offsite locations, order catering, and assist with setup/teardown.
  • Track office supplies and handle purchasing as needed.
  • Prepare, distribute, and post meeting agendas, packets, and related correspondence.
  • Serve as first point of contact by answering and forwarding phone calls, and greeting visitors.
  • Support community events by assisting with setup, staffing, and takedown (approximately 5 per year, including occasional evenings/weekends).
  • Coordinate building and property maintenance services (landscaping, snow removal, etc.).
  • Maintain and monitor the yearly task schedule and ensure record retention compliance.
  • Update and maintain MACC’s website content.
  • Provide note-taking or meeting coverage as needed.
  • Represent MACC at occasional community or social events.
  • Other administrative duties as assigned.

Qualifications

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Excellent organizational and multitasking abilities.
  • Outgoing, professional, and team-oriented attitude.
  • Ability to occasionally adjust schedule to meet organizational needs.
  • Attention to detail and accuracy.
  • Ability to lift 20 lbs. and perform occasional physical tasks (event setup).
  • Must have a valid driver’s license and personal vehicle (mileage reimbursed).

Compensation

$20–25/hour
