Overview

The Administrative Assistant is responsible for handling accounts receivable and payable duties, maintaining Center financial and student records, preparing letters and standard forms, and performing administrative and other duties as may be necessary or assigned by the Center Director.

Essential Job Functions

  • Collecting and depositing all monies coming into the Center including, but not limited to, registering students. Recording the collections and reporting deposits such as housing deposits.
  • Updating student information to the Customer Billing System (Odyssey).
  • Collecting student tuition.
  • Reconciling and resolving accounting problems and/or questions. Compiling, maintaining and submitting all required financial reports and forms.
  • Maintaining reserved accommodations, and airport pick-ups.
  • Maintain student files.
  • Collect proof of insurance and waiver forms or issuing student insurance cards.
  • Office Supply Inventory – purchasing center supplies, keeping inventory.
  • Perform administrative/receptionist duties as necessary or assigned, including correspondence and responding to local inquiries.
  • Perform other duties as necessary or assigned; some weekend work required.

Qualifications

  • The Administrative Assistant must have the ability to work with numbers and related financial reports with speed and accuracy and have a preference for business contacts with people of various backgrounds, as well as for activities of a concrete and organized nature.
  • The Administrative Assistant should also have good communication and organizational skills, and the ability to handle a wide variety of job duties.
