Overview
Receptionist role at UES. The receptionist will be the first point of contact for visitors and clients, handling incoming calls, directing inquiries, scheduling appointments, and maintaining a welcoming reception area. Strong communication, organizational skills, and a positive attitude are essential.

Responsibilities
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials and brochures
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Proficiency in office software and the ability to multitask in a fast-paced environment
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Arrange travel and accommodations, and prepare vouchers
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Perform additional duties as assigned
Qualifications
- High school diploma; additional certification in Office Management is a plus
- 2 to 5 years of experience preferred
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office Suite and collaboration platforms such as Microsoft Teams and SharePoint
- Strong relationship-building, problem-solving, and organizational skills
- Exceptional written, verbal, and presentation communication skills
Travel Requirements
- This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for off-site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.
Physical Demands & Work Environment
- This position operates in a professional office environment; ability to work at a desk for extended periods using a computer, phone, and standard office equipment
- Sitting for extended periods, data entry, and frequent communication via email, phone, and in-person interactions
- Regular communication with team members, clients, and stakeholders, both in person and through virtual platforms
- Occasional standing, walking, bending, and lifting of office materials up to 15 pounds
